Duties/Responsibilities
Welcome and assist guests that visit the work group’s office
Proactively coordinate and organize department meetings including: securing conference rooms and equipment, preparing documents, ordering meals, recording meeting minutes and capturing action items
Manage shipping/receiving needs: including distributing incoming/outbound shipments and inter-office mail
Place timely replenishment orders for office supplies and business equipment
Prepare purchase orders and invoices for processing, and create administrative files needed to retain documentation in accordance with department needs and company policies
Serve as the custodian for department’s Purchasing Cards
Serve as administrator of various tools such as SharePoint and assist as needed with other internal applications
Prepare various correspondence and email communications to support the needs of the organization
Initiate, compile, and prepare various weekly/monthly/quarterly reports for internal and external customers
Assist others with the development of project analysis/reports, gathering data and data entry
Participate in various special projects assigned by management
Provide assistance to other administrative teams, groups, and to executive offices when requested
Performs all essential aspects and functions of the job as well as any other specific job requirements

The minimum education, experience and skill requirements are:
High School diploma or GED with three years administrative support experience preferred
Excellent verbal and written communication skills required
Strong work ethic and commitment to meeting deadlines
Ability to work effectively with others with varying levels of experience
Advanced organizational and multi-tasking skills with the ability to effectively manage large volumes of work
Ability to secure, honor and maintain confidential information
Understanding of general business principles and practices, and experience working in a corporate setting (understanding of corporate culture and protocol; ability to effectively interface with various levels of employees and management; professional appearance and demeanor)
Proficiency in the use of Microsoft Office applications, such as MS Excel, Word, PowerPoint, and Outlook
