Physican Office Specialist

Provides receptionist/clerical support ensuring patient flow, comfort, and satisfaction. Primary responsibilities include answering phones using the computerized system, directing calls appropriately, scheduling patient appointments in the electronic medical record (EMR) system, data entry of patient information and insurance verification, and supporting staff as assigned.

Responsibilities And Duties

Greets patients at arrival, initiates paperwork, performs patient registration, insurance verification, collects co‑payments and outstanding balances, establishes payment plans, and ensures accurate information in systems.

Manages electronic and manual insurance verification, processes insurance paperwork, obtains pre‑authorizations, and coordinates with physician offices and third parties.

Maintains patient charts, obtains signatures, files paperwork, and notifies clinical associates of patient arrival.

Answers multi‑line phone system, screens calls, directs to appropriate office associate, and ensures appropriate phone coverage.

Provides general office and clerical support: faxing documents, completing disability, FMLA, attorney request, patient record release, Industrial C‑9/C‑84/C‑86, Medco 17, appeal paperwork, and retroactive C‑9s.

Works industrial claims in the EMR, attaches dictation, adds diagnosis allowances and authorization numbers.

Assists in organizing and filing patient charts, including scanning and uploading into the EMR.

Attends staff meetings and continuing in‑house education seminars as required.

Sorts, distributes, and mails transcription as assigned.

Orders and stocks office supplies.

Maintains office equipment and ensures it is clean and well‑maintained.

Supports staff as assigned.

Minimum Qualifications

High School diploma or GED (Required).

1–2 years of previous secretarial experience in a health care or medical office setting, or equivalent combination of experience and training.
