About the Role
The Operations Coordinator plays a critical role in supporting the day‑to‑day execution of our tax and accounting workflows. This position ensures work moves efficiently across the team, supports client communication, and helps maintain the systems and processes that drive our operations.
This role is ideal for someone who is highly organized, proactive, and comfortable working at the intersection of client services, administrative coordination, and technical workflow support in a fast‑paced environment.
Key Responsibilities
Workflow Coordination & Execution
Monitor and coordinate tax and accounting workflows to ensure timely completion and prevent bottlenecks.
Track return status, follow up with staff, and help keep deliverables on schedule—especially during peak seasons.
Assist with task assignments, status updates, and internal workflow tracking systems.
Client & Administrative Support
Serves as a point of contact for client communications via phone, email, and the client portal.
Coordinate onboarding, including engagement letters, document collection, and setting expectations.
Assist with billing invoicing and ensure client records are accurate and complete.
Systems & Process Support
Maintain and update standard operating procedures (SOPs) and internal process documentation.
Assist with maintaining and troubleshooting systems (e.g., Canopy, SafeSend, CCH, etc.)
Support implementation of process updates and ensure team adherence to established workflows.
Reporting & Operational Support
Prepare workflow status updates and basic reporting for leadership.
Help track key metrics related to workflow, turnaround times, and team productivity.
Identify gaps or inefficiencies in day‑to‑day processes and elevate appropriately.
Team Support
Support tax preparers and reviewers by ensuring they have the resources they need to complete their work efficiently.
Act as a liaison between the administrative staff, the tax team members, and the leadership.
Required Qualifications
2‑4 years of experience in administrative, client services, or operations support roles.
Experience in a professional services environment (accounting, tax, legal, consulting, etc.) strongly preferred.
Strong organizational skills with the ability to manage multiple priorities and deadlines.
Excellent written and verbal communication skills.
Strong attention to detail and follow‑through.
Technical Skills
Proficiency in Microsoft Office
Experience with workflow or practice management systems
Work Environment
