Job Description – Administrative Associate, Nephrology (934112)

Job Summary
Works under direction to assist with management of administrative and/or business functions of department, division, or unit. Provides faculty support; coordinates visits for external speakers and faculty recruits, including travel arrangements, itineraries, and escorting guests. Coordinates Division Events, including selecting and securing locations, menus, and payments. Training will be 100% onsite, then hybrid.

Qualifications

4 years related work experience; may consider higher education completed in lieu of minimum requirements.

Job Duties

Relieves supervisor of internal administrative duties; reviews department policy manuals, updates and institutes changes as needed; provides comprehensive support to upper‑level administrators.

Monitors and maintains unit’s budget, prepares and submits budgetary reports, assists with annual budget process; may have delegated approval authority for dollar‑level expenditures and coordinates approvals.

Coordinates supervisor’s schedule; makes travel arrangements, plans meeting itineraries for supervisor or outside visitors.

Coordinates details of faculty and staff recruitment; initiates personnel action documents, appointment, termination, and salary/title changes; coordinates appointment process for foreign nationals.

Pre‑screens staff applicants; coordinates interview process; conducts orientation for administrative and technical staff and training of administrative staff.

Coordinates scheduling and use of department/division facilities and assets; makes arrangements for moves/renovations, maintains space records, recommends purchase of equipment and furniture, maintains inventory files.

Approves vacation and sick leave transactions; interprets policies for unit personnel.

Prepares or coordinates preparation of complex reports requiring significant contact with other departments and outside organizations.

Provides professional support for special projects, including editorial and administrative support for manuscripts, abstracts, materials for presentations, courses, meetings, conferences; performs library and internet research; may assist in preparing grants and contracts.

Maintains sub‑ledgers and ledgers for various accounts, reviews expenditures and encumbrances, reconciles accounts, ensures appropriate use of funds.

May provide working supervision for staff of lower rank.

Performs other duties as assigned.
