Job Description Summary
The Transfer Credit Evaluator is responsible for reviewing and evaluating incoming transcripts for transfer and advanced placement credit, processing credit for continuing students, and ensuring compliance with institutional policies and academic standards. As a Degree Completion Coordinator, the position verifies the completion of undergraduate degree requirements, GPA, and honors eligibility, processes applications for graduation, and posts awarded degrees in Banner.
Responsibilities
Transfer Credit Evaluations
Evaluate official transcripts to verify accreditation status and transferability of coursework.
Utilize online or hard‑copy catalogs, Assist.org, CSU/IGETC materials, and ACE accreditation guides to research accreditation and applicability of transfer work toward La Verne degree requirements.
Use the Banner Articulation Module to perform articulation of transfer work.
Coordinate with the La Verne Transfer Center, Faculty and Professional Advisors, and Articulations staff at transfer institutions to research courses not previously evaluated.
Ensure integrity of all data in each student’s Banner record, including transfer credit records, curriculum, student information, and registration records.
Verify data in Banner with Undergraduate Admissions and Regional Campus Administration; make corrections and updates as needed.
Adjust individual student DegreeWorks reports based on faculty‑approved major substitutions and changes to major requirements, major/minor contracts, and GE or transfer credit appeals.
Run and audit new reports to confirm changes, notifying advisors or students when revised reports are available via Banner or MyLaVerne.
Assist in maintaining workflow documentation and identify opportunities for process improvement in credit evaluation.
Stay current on best practices, system updates, and policy changes related to transfer credit evaluation and articulation.
Degree Completion Coordination
Receive, inspect, and process graduation applications, major contracts, major substitution forms, and departmental honors nominations.
Verify accuracy of student academic records in Banner; resolve discrepancies and update records with Advisor or Regional Campus Administration.
Create accurate degree and diploma records in Banner based on student academic data.
Prepare student files for degree posting by verifying completion of degree requirements, final GPA, and honors eligibility; post degree in Banner with correct date, GPA, and honors.
Process ‘one‑up’ term to reflect revised student status; verify accuracy with Student Accounts and Admissions.
Prepare final transcripts and graduation letters; check for holds preventing release; respond to inquiries from students, advisors, and other departments.
Verify integrity of all graduation and diploma data in Banner and compile regular diploma orders.
Proof diplomas for errors; reorder when necessary.
Enter diploma and mailing dates into Banner; respond to student and advisor inquiries about diploma orders and corrections.
Verify school and departmental honors eligibility and enter into Banner.
Proofread commencement lists for accurate student name, degree, and honors information.
Enter commencement attendance information into Banner.
Physical Demands Summary
The physical demands include the ability to sit, stand, walk, bend, and lift up to 20 pounds occasionally. Clear verbal and written communication is essential, as the position involves frequent interaction with colleagues, clients, or external partners. The noise level is generally low to moderate.
Qualifications
Minimum Qualifications
Knowledge of degree conferral policies and best practice.
Knowledge of DegreeWorks, Banner and Transfer Evaluations Systems (TES).
Minimum 2 years experience working in a Registrar’s Office.
Preferred Qualifications
Familiarity with the California Community Colleges (CCC), California State University (CSU), and University of California (UC) systems.
Experience coordinating projects across multiple departments or institutions.
