Pay Range: $29.36 - $47.79 per hour

Summary
The Executive Recruitment Specialist supports, coordinates, and enhances the executive recruitment operations experience for entity level leaders, clinical leadership, and system executives. This role is responsible for delivering a high‑touch, white‑glove candidate experience from interview through onboarding. The Executive Recruitment Specialist partners closely with executive recruiters, HR teams, senior leadership, academic stakeholders, and external vendors to ensure seamless coordination of executive site visits, relocation support, onboarding milestones, and process standardization. As a foundational member of the Executive Recruitment team, this role will help establish scalable operational processes and contribute to the continued development of the executive recruitment function across the health system.

Qualifications
Required:

Bachelor’s degree

3–5 years of experience in talent acquisition operations, program coordination, healthcare administration, executive support, or related HR functions.

Experience coordinating complex, multi‑stakeholder initiatives.

Demonstrated project management and organizational skills.

Strong written and verbal communication skills with the ability to engage senior leaders.

Ability to manage confidential information with discretion and professionalism.

Experience working directly with senior level executives and leadership teams.

Preferred:

Healthcare or academic medical center recruitment experience highly desirable

Experience designing and managing executive onboarding or leadership integration programs.

Familiarity with relocation coordination and vendor management.

Knowledge of recruitment systems and onboarding workflows.

Responsibilities
Executive Candidate Experience & Interview Coordination

Coordinates and facilitates complex interview schedules involving multiple stakeholders, including C‑suite executives, board members, medical staff leadership, and search committees.

Oversees executive candidate travel logistics and provides concierge‑level support for site visits and interviews.

Develops and manages customized interview itineraries in partnership with recruiters and senior stakeholders.

Ensures seamless communication and logistics for candidates and leadership throughout the interview process.

Maintains discretion and professionalism when interacting with executive‑level candidates.

Onboarding Execution & Coordination Support

Serves as the primary onboarding contact for all executive‑level hires, ensuring seamless execution from offer acceptance through the first 90‑180 days.

Partners with Human Resources, Learning & Development, Compliance, IT, Credentialing, and departmental leaders to deliver a seamless, cross‑functional onboarding experience, including IT setup, credentialing (for clinical executives), compliance training, benefits enrollment, and administrative logistics.

Collaborates with department chairs, administrative teams, and executive leadership to develop tailored onboarding and immersion schedules; this includes coordinating role‑specific logistics, cultural orientation, and high‑level briefings with key stakeholders such as Board members, medical staff leadership, and community partners.

Collaborates with the Office of Diversity, Equity & Inclusion to ensure culturally responsive onboarding that supports diverse executive talent.

Provides regular check‑ins with new executives and their managers to address questions, remove barriers, and ensure successful transitions.

Relocation & Vendor Coordination

Coordinates executive relocation processes in partnership with approved vendors.

Supports vendor relationships with executive search firms and relocation providers.

Assists with tracking vendor performance, invoices, and service‑level expectations.

Partners with recruiters to support operational aspects of retained search engagements.

Recruitment Operations & Program Development

Supports development and maintenance of standard operating procedures (SOPs) for executive recruitment & onboarding processes.

Adopts process standardization across interview coordination, onboarding, and vendor engagement.

Assists with data tracking and reporting related to executive recruitment operations.

Identifies opportunities to improve efficiency, candidate experience, and operational consistency.

Provides operational support to sourcing efforts as needed.

Department Chair Review Committee Reporting & Performance Frameworks

Coordinates process of Department Chair Review Committee reports.

Collects performance benchmarks to assist in formal evaluation at the conclusion of the Chair’s three‑year appointment.

Facilitates cross‑functional collaboration to ensure accurate and objective review documentation.

Translates committee findings into formal recommendation including the committee’s identified strategic priorities and actionable initiatives.

Reporting Structure
Direct report to the Senior Director of Faculty & Provider Recruitment with dotted line to the Associate Vice President of Talent Strategy.
