Under the direction of an Assistant Superintendent/Vice President, the applicant provides complex secretarial and administrative support to the head of a major functional District-wide activity. Responsibilities include:
Responsibilities
Organize and manage day‑to‑day office activities, ensuring efficient operations and effective communication.
Perform complex administrative assistance requiring specialized knowledge of educational administration.
Conduct independent research and analysis for special projects, including employee grievances and bargaining proposals.
Represent the office to students, agencies, the public, and handle conflicts, complaints, and grievances based on rules and regulations.
Coordinate systems, projects, organizations, and events on and off campus.
Carry out specialized tasks specific to the division (e.g., workers compensation, student violations, annuity program, insurance claims).
Collaborate with Human Resources on confidential personnel matters, recruitment, and equivalencies.
Prepare reports for the Board of Trustees and Executive Council, including data on grievances and bargaining proposals.
Transcribe dictation, prepare correspondence, and maintain records.
Type a wide variety of materials, including letters, reports, forms, applications, and recommendations.
Screen calls and visitors, schedule appointments, and arrange travel.
Provide information to students, district personnel, and the public regarding programs, policies, and regulations.
Maintain budget and financial records, record expenditures, and manage account balances.
Provide administrative support for committees, task forces, and special groups; schedule meetings, prepare agendas and minutes.
Compile data for statistical and narrative reports; conduct research as required.
Inspect documents and processes for accuracy and conformance to guidelines.
Maintain confidentiality of records and sensitive information.
Develop and revise correspondence formats and forms.
Operate office equipment and information technology systems.
Coordinate communication and activities with other departments, students, vendors, and the public.
Minimum Qualifications
High school graduation supplemented by college‑level coursework in business, secretarial science, or related field and at least four years of increasingly responsible secretarial and clerical experience involving frequent public contact.
Knowledge of: organization, policies and procedures of educational administration; modern office practices; financial and statistical record‑keeping; correct English usage; district organization and policies; oral and written communication; applicable State Education Code; interpersonal skills; telephone etiquette; public relations.
Ability to: provide complex secretarial and administrative support; plan, organize, coordinate, and participate in clerical operations; exhibit well‑developed organizational and interpersonal skills; read, interpret, apply, and explain rules; type 60 words net per minute; take and transcribe dictation or minutes accurately; work independently with little direction; establish and maintain effective working relationships; meet schedules and timelines; maintain records and prepare reports; work confidentially with discretion; analyze situations and adopt effective action; communicate effectively; operate computer terminals and office equipment; make arrangements for meetings and conferences.
