Team Operations Associate
to support the lead financial advisor, staff, and clients. This on-site position involves a wide range of duties and offers opportunities to take on increased responsibilities over time.
In the spirit of pay transparency, the pay range for this position is
$50,000.00 to $60,000.00 , exclusive of bonuses and benefits. We encourage you to apply and provide compensation expectations when you apply. We’re open to discussion and collaboration.
Students graduating in spring 2026 are encouraged to apply (in addition to current professionals). We can offer a flexible start date or initially reduced hours for those still in school.
Primary Job Functions
Client Account Servicing & Operations
Establish and maintain new client accounts within the CRM and related systems.
Support the Senior Client Service Manager (CSM) with new account opening and ongoing account servicing activities.
Learn and serve as back-up support for asset movement processes during Senior CSM absences.
Assist in resolving complex servicing needs, including account transfers, IRA rollovers, alternative investments, and trust-related account updates.
Troubleshoot account documentation and ensure completeness, accuracy, and compliance with firm standards.
Client Review Scheduling & Preparation
Support the client segmentation process by maintaining and updating segmentation tiers.
Schedule client review meetings and coordinate logistics across advisors and team members.
Prepare client review materials in advance of advisor meetings and attend client reviews as needed.
Manage the Annual Client Review process, ensuring reports are completed by advisors in a timely manner.
Track post-review follow-ups and coordinate task completion with advisors and team members.
Team & Operational Support
Assist with document management, record retention, and data accuracy across systems.
Support ad hoc operational projects and team initiatives as assigned.
Contribute to process improvement efforts by identifying workflow gaps or inefficiencies.
Education/Qualifications
High school diploma (or equivalent) required; post-secondary degree preferred.
Securities and/or insurance licenses, or willingness to obtain, a plus.
Prior experience in office administration or operations preferred; financial services experience strongly preferred.
Strong organizational skills with the ability to manage multiple priorities and deadlines.
Proficiency in Microsoft Office applications (Outlook, Excel, Word, PowerPoint).
Excellent written and verbal communication skills.
High attention to detail and strong commitment to confidentiality and data accuracy.
Experience with Workday or similar HR systems preferred.
