ADMINISTRATIVE ASSISTANT TO THE SUPERINTENDENT
PEWITT CONSOLIDATED INDEPENDENT SCHOOL DISTRICT
POSITION OVERVIEW
The Administrative Assistant to the Superintendent serves as the primary administrative support for the Office of the Superintendent. This position requires a high degree of professionalism, discretion, and organizational skill to support the day-to-day operations of district leadership and facilitate effective communication between the Superintendent, school board, staff, families, and the community.
KEY RESPONSIBILITIES
Manage the Superintendent's calendar, schedule appointments, and coordinate meetings with board members, administrators, staff, and external stakeholders.
Prepare, proofread, and distribute confidential correspondence, reports, agendas, and board meeting materials.
Serve as the primary point of contact for the Superintendent's office; screen and direct calls, emails, and visitors with professionalism.
Coordinate logistics for Board of Trustees meetings, including preparation and distribution of board agendas, board packets, and official meeting minutes in compliance with the Texas Open Meetings Act.
Maintain confidential records, files, and databases in compliance with district policy and state retention requirements.
Receive, log, and coordinate responses to Public Information Act requests in accordance with Texas Government Code timelines and district procedures.
Assist in drafting communications to parents, staff, and the community on behalf of the Superintendent.
Support district-wide events, ceremonies, and programs organized through the Superintendent's office.
Process travel arrangements, expense reports, and purchase orders.
Perform other duties as assigned by the Superintendent.
REQUIRED QUALIFICATIONS
High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
Minimum of three (3) years of progressively responsible administrative or executive support experience.
Experience in a public school, government, or similarly complex organizational environment preferred.
Knowledge, Skills & Abilities
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Google Workspace.
Exceptional written and verbal communication skills.
Demonstrated ability to handle sensitive and confidential information with discretion.
Excellent organizational skills with the ability to manage multiple priorities, meet deadlines, and maintain meticulous attention to detail in a fast-paced environment.
Ability to work independently and exercise sound judgment.
Professional demeanor and effective interpersonal skills with diverse stakeholders.
PREFERRED QUALIFICATIONS
Experience with school district management software (Ascender).
Knowledge of the Texas Open Meetings Act and experience ensuring compliance in board meeting procedures.
Familiarity with Texas Education Code, open records laws, and public meeting requirements.
Experience supporting elected boards or governing bodies.
Notary Public certification or willingness to obtain.
WORKING CONDITIONS
This is a 12-month, full-time position. Standard hours are Monday–Thursday, 7:10 a.m. to 4:30 p.m. with some evening availability required for board meetings and district events. The position is primarily office-based with occasional travel between campuses.
