Under general supervision, perform specialized and responsible clerical and secretarial functions, relieve the school administrator of clerical detail, and perform routine administrative aide functions. Provide support across elementary, middle, high school, and special school settings.
DUTIES & RESPONSIBILITIES
Serve as a personal secretary and office management aide.
Review and screen incoming correspondence and communications routed to the school administrator.
Refer specific communications to appropriate staff members for data gathering.
Initiate follow‑up activities to ensure operational timelines are met.
Arrange correspondence for supervisor’s personal reply with appropriate background materials.
Compose correspondence concerning a wide range of subjects, requiring knowledge of policies, regulations, and procedures.
Review outgoing correspondence and other materials for consistency with policies, regulations, and formatting.
Take notes of meetings and conferences, and prepare accurate summaries.
Take and transcribe dictation pertaining to a wide variety of subject areas, including privileged or sensitive material.
Respond to inquiries from office visitors or telephone contacts.
Enter data for a computerized record‑management system and utilize output reports for office operations.
Requisition, order, and maintain an adequate inventory of supplies and instructional materials.
Maintain a variety of records and files, including student, personnel, budget, expenditure, payroll, and other related records.
Schedule and organize clerical functions of the office.
Provide input concerning the technical evaluation of other clerical staff.
Assist in the scheduling of school facilities.
Assist with budget planning and expenditure control.
Comply with applicable state and federal law as well as local policies and procedures.
Perform other duties as assigned.
QUALIFICATIONS
Knowledge of:
Organization and coordination practices and techniques for complex clerical functions.
Modern office methods and equipment, including micro‑computers and terminals.
Automated record‑management and filing systems, receptionist and telephone techniques, correspondence and report writing.
English usage, grammar, spelling, and punctuation.
Basic first aid methods, procedures, and techniques.
Ability to:
Interpret and apply legal mandates, policies, rules, regulations, and operational procedures pertaining to a school operation.
Operate computer terminals and micro‑computers efficiently and utilize application software.
Compose correspondence independently.
Establish and maintain comprehensive and accurate files and records, and prepare concise and complete reports as required.
Type at a net corrected speed of 50 words per minute.
Make accurate arithmetical calculations with speed and accuracy.
Understand and carry out oral and written directions.
Establish and maintain cooperative working relationships.
PHYSICAL DEMANDS

Experience and Education
