
Elementary School Office Assistant

The Office Assistant, a full-time position in the Elementary School, supports the Principal’s Administrative Assistant by responding to all incoming phone or in-person inquiries, management of student attendance and the student lunch program, record-keeping, management of responses to special school events and activities, and other clerical tasks. The position includes serving as the elementary office liaison with the student Records Office.
ESSENTIAL DUTIES AND RESPONSIBILITIES include but are not limited to the following. Other duties may be assigned by the Principal or the Principal’s Administrative Assistant.
Daily Responsibilities
Unlock and lock all Wilcox Office and restroom doors.
Supervise kindergartners through second graders in the dining room from 7:00-7:30am.
Greet all students, parents, and visitors to the office. Provide assistance when needed.
Respond to all incoming phone inquiries and emails and assist in answering questions.
Manage student attendance in myPueo. Contact faculty and parents if needed.
Respond to faculty requests regarding facility requests and general questions.
Assist with photocopying or laminating needs from faculty.
Assist with recess supervision when a recess supervisor is absent.
Assist with maintaining the cleanliness and organization of the office.
Supervise lunch in the dining room.
Assist with faculty/staff lunch orders from Sodexo when needed.
Assist in the morning and afternoon autolines.
Regular and predictable attendance at work.
All other duties as assigned.
Weekly/Monthly Responsibilities
Organize and manage the student lunch program in collaboration with the Sodexo Manager.
Print monthly Sodexo menu and distribute it to classrooms.
Coordinate bus transportation and lunch needs (if any) related to field trips.
Prepare a monthly birthday list for students, faculty, and staff; they are announced each week. Give list to the principal and 5 th Grade Character Education teacher.
Prepare student volunteer schedule to help with the clean-up of the dining room.
Assist with school events, including managing RSVP lists and completion of facility requests.
Beginning/End of Year Responsibilities
Collect and organize faculty and staff keys at the end of the school year.
Create student rosters prior to the start of school and provide access to teachers.
Create student placards for the vehicles and mail them to parents prior to the start of school.
Coordinate the ordering of school lunches with the Sodexo Manager at the beginning of the school year.
Assist with the school supply distribution to the classrooms.
Update and distribute the evacuation and campus maps.
Maintain and update the photo wall master list. Coordinate the placement of photos with FMS.
School Activities/Events
The Preschool and Elementary, in conjunction with Na ?Ohana Pueo, schedule many events throughout the school year. Work with the Community Engagement Specialist to plan various PS/ES events; e.g. Hikina Pueo, Spooktivity, Kupuna Day, etc.
Support from the Office Assistant includes, but is not limited to the following tasks
Prepare activity proposals and facility requests for events.
Prepare/post event communication to parents via myPueo page and ES Newsletter, after the principal’s review and approval.
Prepare labels for mailings.
Coordinate parent volunteers for events.
Minimum Requirement
Associate degree from an accredited university or college and 2 years of employment in an office setting.
Preferred Requirements
Bachelor’s degree from an accredited university or college and three or more (3+) years of office experience with word processing, data entry and data management, and interactions with people.
The candidate must be people-friendly, especially with children, articulate, organized, independent, energetic, flexible, and committed to the mission and goals of Mid-Pacific.
