Responsibilities
The Student Services Specialist assists the Tribal Education Division by maintaining students Tribal Leave records, supporting all educational programs, and providing general office support. This position works closely with Casework and advocacy team to support students, parents, families, and other individuals who may qualify for Tribal Student Services (TSS). Responsibilities include providing quality services, promoting participation in educational programs, coordinating transportation, and planning outreach events to support student readiness and achievement.
Essential Duties
Daily student tracking, monitoring, and oversight for Tribal student attendance and other school-related functions.
Monitor attendance reports from school districts and provide contact information to Student Services Caseworker-Advocates for follow-up on absences.
Communicate with truancy officers and program coordinators to ensure accurate and timely attendance tracking.
Complete and track Tribal Leave requests for all Tribal religious holidays and ceremonies; provide forms and documentation to Attendance and Truancy Officers.
Serve as a liaison between campus personnel and Tribal Student Services on attendance and Tribal Leave issues.
Support all educational programs by providing administrative assistance, program coordination, and resource management.
Plan and implement outreach events and family engagement activities to facilitate improved student achievement and school improvement.
Recruit and coordinate Tribal Family Engagement Volunteers to support events and initiatives.
Maintain visibility at Family Engagement and educational events in the community, including evenings or weekends as required.
Provide referrals, support, and follow-up services for Tribal parents, students, and educational staff.
Manage front office operations, including reception, storage, conference rooms, office equipment, and volunteer coordination.
Track and report Tribal student and family participation in programs and events.
Collaborate with staff to ensure program compliance, safety, and procedural requirements for student engagement activities are met and documented.
Schedule and coordinate events, meetings, conferences, and program logistics.
Act as a first responder for medical or emergency issues during student events on reservation.
Maintain confidentiality of all records, communications, and documents.
Perform other duties as assigned by supervisor.
Ensures the College and Career center, and offices have appropriate coverage.
Updates calendar boards, bulletin boards, and other information centered needs for Tribal Student Services.
Provide referrals and support to Tribal Parents, Tribal Educational Staff, and Tribal Students.
Promote Outreach and engagement events (approved by Tribal Educational Administration) support student readiness and achievement goals.
Support campus-based parent nights, collaborate with other Tribal Student Services staff to provide logistics support, information, or outreach with local ISDs- when assigned.
Collaborate with staff members to ensure program compliance, safety, and procedural requirements for events and student engagement are met and documented.
Monitors progress of active Family Engagement projects, high-level initiatives through the use of various software programs. Includes tracking sign in and submitting attendance.
Maintains visibility at Family Engagement events in the community (some evening or weekend Hours required).
Documents and Reports complaints and concerns submits complaints to Supervisor in writing with possible solutions, and cc Tribal Education Administration designee.
Maintains confidentiality of conversations, files, mail, facsimiles, folders and all other confidential Documents (electronic and hard copy).
Supports capacity building efforts at the program and family level by creating, a nonjudgmental, inclusive, and welcoming environment.
Maintains accurate records, of participant demographics, feedback, outcomes, and follow-up required by educational administration.
Responds to both immediate and longer-term requests for data analysis and reporting of key departmental data.
Takes initiative to explore issues and find potential innovative solutions and present to Supervisors – when applicable.
Consistently delivers with high quality results under tight deadlines.
Detailed work plans and balancing of multiple priorities.
Perform such other tasks as may be assigned by supervisor.

Education/Experience Requirements
Minimum Qualifications:
Associate Degree; or workforce certification, related clerical profession.
Experience working in data, accounting, operations, or school district office required.
Preferred Qualifications:
Bachelor Degree in education, or business or 3 or more years’ Experience in record keeping, data entry, database operations, and or other data.
Disqualifying Criteria
Regulations implementing the Indian Child Protection and Family Violence Prevention Act require an individual to be denied employment if he or she has been convicted of any felony, or any two or more misdemeanor offenses, under Federal, State, or Tribal law involving crimes of violence, sexual assault, molestation, exploitation, contact or prostitution, crimes against persons, or offenses committed against children.
