## Description**SUMMARY:**The Payroll Administrator oversees all aspects of payroll management, ensuring accurate and timely payroll processing for over 300 employees across 17 locations. This role ensures compliance with internal policies, external regulations, and bank security requirements while supporting Human Resources initiatives. Additionally, the Payroll Administrator is responsible for administering the 401(k) program, including coordinating new hire onboarding for 401(k) enrollment and scheduling quarterly educational seminars.**JOB DUTIES AND ESSENTIAL FUNCTIONS:*** Manage payroll processing for salaried, commission, and hourly employees across multiple locations bi-weekly and monthly.* Ensure the timely and accurate processing of payroll transactions, including wages, benefits, garnishments, taxes, commissions, paid leave, bonuses, and other deductions.* Audit employee payroll data for accuracy, including names, compensation, and taxation details, ensuring compliance and security protocols are followed.* Administer the 401(k) program, including:
+ Coordinating onboarding for new hires specifically for 401(k) enrollment.
+ Scheduling and coordinating quarterly educational seminars on the retirement plan.
+ Preparing and submitting 401(k) changes and loan adjustments in the payroll system.
+ Ensuring monthly 401(k) file transmission to the plan provider.* Conduct payroll updates for new hires, terminations, and employment status or compensation changes, ensuring compliance and maintaining audit readiness.* Perform payroll reconciliations for the general ledger, 401(k) provider, and benefit deductions.* Process special payouts such as bonuses, incentives, and commissions as directed.* Prepare and maintain accurate payroll records, reports, and documentation to ensure alignment with bank security and audit requirements.* Serve as the primary point of contact for employee payroll-related inquiries, including overtime, holiday pay, and deductions.* Perform periodic audits of payroll processes to ensure compliance with internal controls, regulations, and bank security standards.* Manage payroll corrections, reversals, tax adjustments, garnishments, and tax-related reports.* Maintain compliance with federal, state, and local payroll regulations and implement best practices.* Ensure confidentiality and security of payroll and employee data, adhering to bank security protocols.* Collaborate with managers to verify timely and accurate employee record updates.* Provide payroll-related data and support for auditors, ensuring prompt and accurate information delivery.* Perform other duties and special projects as assigned to support organizational objectives and enhance operational efficiency**WORKING CONDITIONS:*** Air-conditioned office environment.* Consistent and timely attendance is required to ensure uninterrupted operational efficiency and exemplary service delivery.**PHYSICAL DEMANDS:*** Sit for extended periods of time.* Walk, stand, bend, squat, twist, and reach.* Simple grasping and fine manipulation* Extended keyboarding.## Qualifications**MINIMUM REQUIREMENTS:*** High School Diploma or equivalent.* Minimum of 4 years of payroll processing experience, including strong knowledge of financial aspects, taxes, and withholdings.* Proficient in Microsoft Office applications (Excel, Word, Outlook) and related business communication tools.* Working knowledge of payroll and tax legal regulations.* Exceptional written and verbal communication skills.* Proven ability to meet tight deadlines and manage competing priorities.* Strong attention to detail with excellent organizational and critical thinking skills.* Ability to manage interruptions and changing priorities effectively.* Proven experience maintaining strict confidentiality with sensitive employee data.**PREFERRED REQUIREMENTS:*** Degree or certification in Business Administration, Finance, or Accounting preferred.* Payroll Certification (CPP or equivalent) is a plus.* Familiarity with HR functions and best practices.* Experience administering employee retirement plans.* Strong decision-making and problem-solving skills.***Disclaimer:*** This job description is not designed to cover or contain a comprehensive listing of activities, duties or responsibilities that are required of the employee.
