Commissioning Construction Administrative Assistant

The Construction Administrative Assistant provides full-time, onsite administrative and coordination support for a large construction and commissioning project. This role is responsible for day-to-day administrative activities at the jobsite, supporting project managers, commissioning staff, and construction leadership to ensure documentation, communication, and workflows are organized, accurate, and timely.
This position requires a high degree of organization, professionalism, and consistency. The Construction Administrative Assistant does not make independent project decisions but plays a critical role in keeping the project team aligned, informed, and supported.
Key responsibilities include:
Onsite Administrative Support
Serve as the primary onsite administrative point of contact for the construction and commissioning teams.
Maintain daily presence onsite to support project operations and coordination.
Manage calendars, meetings, and conference room logistics for onsite teams.
Prepare, format, and distribute project correspondence, reports, and presentations.
Provide general administrative support to project managers and field leadership.
Document Control & Reporting
Manage and organize project documentation, including meeting minutes, logs, trackers, and reports.
Assist with preparation and formatting of project deliverables using Microsoft Word, Excel, and PowerPoint.
Maintain accurate filing systems (digital and physical) for construction and commissioning records.
Track and follow up on action items, approvals, and required documentation.
Communication & Coordination
Coordinate communication between onsite teams, remote stakeholders, and client representatives.
Assist with scheduling meetings, site visits, and inspections.
Support onboarding activities for new onsite personnel (badging, access, orientation coordination).
General Office & Site Support
Support ordering and tracking of office supplies, PPE, and site materials as directed.
Assist with timekeeping, expense tracking, and basic administrative reporting.
Support special projects and administrative tasks as assigned by project leadership.
What success looks like:
Onsite administrative needs are handled promptly and accurately.
Project documentation is well-organized, complete, and easy to retrieve.
Project managers and field leaders experience reduced administrative burden.
Communication flows smoothly between construction, commissioning, and client teams.
The jobsite maintains professional administrative standards at all times.
Qualifications and skills include:
35 years of administrative experience, preferably in construction, engineering, or project-based environments.
Strong proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook).
Excellent organizational skills and attention to detail.
Ability to manage multiple priorities in a fast-paced, onsite environment.
Clear, professional written and verbal communication skills.
High level of reliability, discretion, and professionalism.
Ability and willingness to work onsite every day at the project location.
Work environment:
Full-time, onsite role at an active construction project.
Regular interaction with project managers, field staff, commissioning teams, and client representatives.
Work location: Michigan City, Indiana
Compensation & Benefits:
The expected base salary range for this role is $45,000 - $55,000 USD per year. Actual compensation will be determined based on a number of factors including skills, experience, qualifications, and location. This role is also eligible for performance-based bonuses and a comprehensive U.S. based benefits package, including:
