Bachelor's degree in an appropriate area and six years of relevant experience; or an equivalent combination of education and experience.
Financial Management and Reporting
Manage finance and accounting functions for departmental non-grant funds, including state appropriations, foundation funds, faculty start-up funds, centers, auxiliaries, and other departmental accounts.
Prepare departmental budgets, budget projections, monthly expenditure summaries, and financial reports for review by the supervisor, department chair, college, university, and other stakeholders.
Complete reconciliations of expense and payroll transactions using Enterprise Analytics Dynamic Cubes, departmental reports, and other financial data sources.
Investigate accounting errors, analyze discrepancies, and work with appropriate staff to resolve issues.
Track faculty start-up commitments and expenditures.
Monitor OPS budget activity, including state appropriations funds used to support teaching assistant stipends.
Communicate regularly with the college budget director to confirm receipt and appropriate use of approved college funds.
Oversight and Compliance
Ensure compliance with applicable fiscal standards, university policies, and separation of duties requirements related to procurement, reconciliation, employee reimbursements, scholarships, materials and supplies, equipment use fees, and other financial activities.
Review and approve budget transfers, journal entries, payroll cost transfers, travel and expense reimbursements, purchasing transactions, invoice payments, and scholarship awards.
Serve as the financial approver for travel and expense reports for the department.
Process journal entries and spreadsheet journal entries for departmental service providers.
Provide oversight of UF Foundation accounts and serve as fund administrator as needed.
Interpret and apply fiscal rules and policies from the college and university, including guidance from Finance and Accounting, Procurement, Auxiliary Accounting, and Contracts and Grants.
Special Programs, Centers, and Auxiliaries
Track revenues and expenditures for special programs, including UF Online, Distance Learning, Pre-Health, and Dual Enrollment.
Provide accurate special program financial data to the college and complete related reports.
Complete annual expenditure summary reports for departmental centers, including online reporting to the UF Office of Institutional Planning and Research.
Complete the service center rate review for the stockroom auxiliary, including cost analysis to support product pricing in compliance with federal requirements.
Work with Auxiliary Accounting, as needed, to support the management of departmental auxiliaries.
Supervision and Department Support
Provide daily supervision, training, and cross-training for finance office personnel.
Provide guidance and training to administrative and academic support staff whose duties intersect with finance office operations, including procurement, travel, PCard reconciliation, and faculty reimbursements.
Serve as the primary point of contact for non-grant financial questions within the department.
Keep the department chair informed of financial activities and issues on a regular basis.
Serve as a backup approver for Time and Labor.
Perform other duties as assigned by the supervisor or department chair.
The expected salary for this role is $75,000 - $85,000
Preferred
Experience with Microsoft Office and Teams is required.
Knowledge of accounting principles, practices and procedures and methods of data collection.
Ability to design and implement accounting systems and prepare financial reports.
Ability to analyze and interpret accounting information and maintain numerous accounting systems.
PeopleSoft experience preferred.
Demonstrated proficiency in state funds and sponsored projects accounting.
Strong PeopleSoft Enterprise Reporting system skills are preferred.
Excellent oral and written communications skills, personnel management skills and experience are preferred.
