
CENTRAL SERVICES RECEPTIONIST/SWITCHBOARD OPERATOR

Craven County Schools Central Services Receptionist/Switchboard Operator
Position: Central Services Receptionist/Switchboard Operator Reports to: Administrative Assistant to the Superintendent Terms of Employment: Full-time, 12-Month FLSA Status: Non-Exempt
Nature of Work: This position is the receptionist and central switchboard operator for the district's Administration Office which includes instructional services, human resource services, technology and accountability services, and finance. Responsibilities include projecting a positive image for the district, greeting and assisting visitors, answering incoming calls, taking messages, and placing outgoing calls for staff as requested. The position also performs a variety of clerical duties to support the central services office.
Education and Experience: High school graduation or equivalent with training in clerical procedures and two years of clerical experience, including answering the telephone and greeting the public.
Certification and Licensure Requirements (if applicable): Notary Public
Essential Functions/Typical Tasks:
Warmly welcomes visitors to the office; announces visitors to district staff; directs visitors to proper office as necessary.
Maintains the reception area in a clean, orderly and welcoming manner.
Maintains current scheduling calendar for district meetings to be held in the central services board meeting and conference rooms. Maintains and/or refers to the district's central school activity calendar for general information for the public and coordination of calendar scheduling.
Maintains portions of the district's website and answers incoming calls on the district's central switchboard; provides general information; routes callers to appropriate extensions or takes messages.
Places outgoing long distance telephone calls for staff members with restricted telephone services. Logs commendations, concerns, and questions in the district's feedback system.
Responds to public questions related to the following areas:
Student reassignment
Kindergarten registration
Meetings in the building
School calendars
Where to find information
School directory information
Threat condition procedures
Monitors operation of switchboard; alerts supervisor if system is not functioning properly; calls for service as needed. Relays messages concerning problems in telephone service as alerted by staff members in other locations. Maintains a log of problems and resolutions.
Provides clerical support as needed in district's Administration office to include typing letters, memos and forms from handwritten drafts or corrected copy on word processing equipment; collating and distributing district employment application forms, preparing envelopes for in-district and out-of-district mailings; assists with bulk mailings; maintaining reference files, and sorting purchase orders and invoices.
Sorts and distributes incoming mail for district's administration office; processes outgoing mail by affixing postage and ensuring mail is processed.
Maintains a variety of files as requested.
All other duties as assigned.
Knowledge, Skills, and Abilities:
Knowledge of clerical practices and procedures.
Knowledge of correct grammar, spelling, and English usage.
Keyboarding skill at 50 words per minute.
Skill in operating general office machines.
Effective oral communication skills.
Ability to learn the operation of a multi-line switchboard and respond to multiple incoming calls.
Ability to learn the operation of word processing equipment.
Ability to maintain accurate records.
Ability to work effectively under pressure.
Ability to work independently with minimal supervision.
Ability to maintain confidentiality.
Ability to positively represent the district to the public.
Ability to use tact when dealing with upset and angry individuals.
Ability to maintain a positive attitude.
Ability to establish and maintain effective working relationships with students, parents, and staff.
Physical Requirements: This work requires the frequent exertion of up to 10 pounds of force and occasional exertion of up to 25 pounds of force; work regularly requires sitting, speaking or hearing, using hands to finger, handle or feel, reaching with hands and arms and repetitive motions, frequently requires standing, walking, stooping, kneeling, crouching or crawling, pushing or pulling and lifting and occasionally requires climbing or balancing; work has standard vision requirements; vocal communication is required for expressing or exchanging ideas by means of the spoken word and conveying detailed or important instructions to others accurately, loudly or quickly; hearing is required to perceive information at normal spoken word levels and to receive detailed information through oral communications and/or to make fine distinctions in sound; work requires preparing and analyzing written or computer data, visual inspection involving small defects and/or small parts, using of measuring devices, operating machines, operating motor vehicles or equipment and observing general surroundings and activities; work has no exposure to environmental conditions; work is generally in a quiet location (e.g. public office).
Special Requirements: Valid North Carolina driver's license
