Pay: $24.00 $25.00 per hour
Job Type: Part-time, Temp-to-Hire
Schedule: Monday Thursday (32 hours per week)
Job Summary: Our Client in Woodbury, NJ is seeking an experienced, detail-oriented Administrative Assistant to provide comprehensive operational and client service support to a Financial Advisor. The ideal candidate is someone with a professional demeanor, a high degree of integrity for handling confidential information, and the ability to work independently. This position offers a consistent 4-day work week and the opportunity to transition into a permanent role.
Responsibilities
Client Service and Relationship Support:

Serve as the primary professional contact for all client inquiries via phone and email, including processing service requests and logging interactions in Redtail.
Account Management and Financial Operations:

Oversee the full lifecycle of client accounts by managing new account openings in eQuipt, processing trades and complex distributions like RMDs, and maintaining meticulous transaction blotters to ensure accuracy.
Administrative and Operational Support:

Manage all high-level office logistics, including the preparation of time-sensitive legal documentation, drafting professional correspondence, and maintaining compliant physical and digital filing systems for all client records.
Advisor Support and Financial Planning:

Work closely with the Financial Advisor to support the development and implementation of client financial plans, including preparing documentation for client meetings, monitoring pending service requests in the Support Center, and performing daily system audits to ensure all trades and plans stay on track.
Requirements
Experience:

Minimum of 5 years of experience supporting a Financial Advisor or working in a financial services environment.
Technical Skills:

High level of computer proficiency; experience with CRM platforms (like Redtail) and financial systems is highly preferred.
Self-Starter:

Ability to work independently and manage the office effectively when the Advisor is off-site.
Communication:

Professional and confident telephone skills with a friendly personality.
Attention to Detail : Exceptional organizational skills and the ability to handle confidential information with discretion.
Notary Public certification is a plus.
