Overview
Are you passionate about creating unforgettable experiences and bringing people together through expertly coordinated events? We are seeking an energetic and detail-oriented Event Planner/Coordinator to lead the planning and execution of Episcopal Diocese of Ohio's events including the annual convention and other major events, clergy gatherings, and trainings. This role ensures that events are well-organized, well-communicated, and hospitable, supporting the shared life and vision of the Episcopal Diocese of Ohio.
The Event Coordinator works collaboratively with diocesan staff to support a wide range of events and programs, providing consistent, high-quality logistical coordination and participant experience.
Essential Functions
Coordinate planning and implementation for major diocesan events, including Diocesan Convention and regional gatherings.
Lead logistics and execution for diocesan events, including Clergy Conference, Clergy Day, Fresh Start, and other clergy gatherings.
Serve as primary point of contact for event participants, volunteers, vendors, and venues.
Coordinate hospitality elements, including meals, materials, and participant needs.
Manage event logistics including registration, communication, materials, scheduling, and on-site coordination.
Support planning and execution of diocesan committees, programs, and trainings.
Engage and coordinate diocesan staff and volunteers to support the planning and execution of events, ensuring clear roles, communication, and shared ownership.
Develop and manage event timelines, task lists, and communication plans.
Ensure a high-quality, welcoming experience for all participants.
Track event details and follow through on post-event communication and evaluation.
Identify opportunities to improve event processes, systems, and participant experience over time.
Requirements
High school diploma or equivalent required; post-secondary education preferred.
Minimum five years of event coordination experience, including proven track record in planning and implementing large gatherings/events.
Demonstrated ability to manage multiple projects with accuracy and attention to detail.
Proficiency in Microsoft Office Suite and event registration or database platforms.
Strong interpersonal and written communication skills.
Availability for evening and weekend events throughout the year.
Ability to travel across northern Ohio as required.
Physical Requirements
Must be able to travel independently across the Episcopal Diocese of Ohio. Must be able to move between various physical environments (including settings with limited accessibility), lift up to 25 pounds, and communicate clearly in person and by phone/Zoom.
