Pharmacy Secretary II
Under the general supervision of the Director of Pharmacy, the Pharmacy Secretary II provides reception and secretarial support services in the pharmacy area including coordinating communication, maintaining records, and assisting pharmacy staff with day to day organizational tasks. The position shall exemplify the desired Culture of Choice and philosophies of Parrish Healthcare.
Key responsibilities include:
Providing exceptional greetings either by phone or face-to-face for all visitors, demonstrating hospitality and superior administrative support service, ensuring exceptional customer care to all.
Answering and directing phone calls, emails, and other communications within the pharmacy department.
Assisting in the monitoring of scheduled appointments, unannounced visitors, and incoming/outgoing phone calls for Director of Pharmacy.
Receiving incoming telephone and personal callers and screening those in the secretary's judgment may be transferred; personally, taking care of many matters and questions including answering substantive questions not requiring detailed research or technical knowledge.
Demonstrating effective professional, interpersonal and communications skills.
Responsible for typing and processing memorandums and documents, and assisting in preparing reports, presentations and correspondence as needed.
Reserving conference rooms as required.
Maintaining and organizing departmental records, invoices, reports, and files.
Taking minutes during department meetings and committee meetings as required.
Completing and routing internal forms, requisitions and invoices after signature by Director of Pharmacy.
Assisting others in using clerical equipment as well as technical equipment for presentations. Ensuring all clerical equipment such as fax, printer, and copiers are properly maintained.
Attending monthly staff meetings and huddles to stay aware of policies and operational procedures.
Maintaining inventory of office supplies; restocking as necessary.
Performing similar or related duties as assigned.
Knowing fire, disaster and safety procedures and regulations as it pertains to the work area.
Serving as primary courier for the pharmacy department to deliver medications to off site locations.
Requirements include:
High School diploma or GED required.
2 years to 3 years of work experience.
Valid State of Florida Drivers License (FDL) and Motor Vehicle Record (MVR) that is acceptable to PMC's corporate automobile insurance carrier is strongly preferred license will be screened prior to employment and annually thereafter (if applicable).
