The primary role of the Office Administrator is to provide front desk and administrative support to the Arthur Hall offices. This position is responsible for providing administrative support to include, but not limited to, facilities coordination, managing expense reporting and event management.
Essential duties and responsibilities include, but are not limited, to the following:
Greet and assist visitors and guests at front desk, ensuring proper visitor process is being followed
Act as primary source for day-to-day colleague contact/support for office and facility needs, including coordination and maintaining building access, office/desk keys, and parking permits
Manage and coordinate off-site storage requests
Act as liaison for building management to ensure all facility needs are addressed in a timely manner
Serve as the point of contact for all office and conference room reservations and visitor access including printer set-ups, Wi-Fi and other needs
Coordinate centralized office supply purchasing program
Coordinate catering requests and meeting room reservations
Manage expense report processing for sales and senior leadership
Support sales and account teams with copying and binding needs
Coordinate all incoming and outgoing mail for both offices.
Monitor all shared company inboxes including voicemail, emails and fax lines
Support other departments and projects as needed
Back up for administrative team as required
Required education and experience:
Bachelor's Degree and/or equivalent work experience preferred
Minimum of 5 years' administrative experience
Knowledge, skills and abilities:
Strong organizational, analytical skills and strong attention to detail
Excellent troubleshooting, and problem-solving skills
Professional demeanor and presentation in a client facing environment
Solid interpersonal, verbal and written communication skills
Ability to work well independently and as a team member with all levels of the organization
Ability to multitask and successfully operate in a fast-paced work environment
Ability to organize, prioritize and complete projects to meet deadlines while adhering to specified quality standards and adapt to changing needs
Demonstrated ability to provide superior customer service and maintain positive relationships with internal teams and client contacts
Must be intermediate to advanced skillset with Microsoft Outlook, Word, Excel and PowerPoint
Proficiency in use of PC such as keyboard skills and electronic folder/file organization and management
Aptitude for learning internal systems, applications and internal workflow of the department
Must be able to effectively interact and deal with people at all levels inside and outside of the company

Work is typically performed either on site at MMA's West Chester office, or at various customer/MMA locations as required.
The base pay offered will be determined on factors such as experience, skills, training, location, certifications, and education. Decisions will be determined on a case-by-case basis. In addition to the base salary, this position may be eligible for performance-based incentives.
