Summary
The School Registrar is responsible for maintaining student records at the building level to meet State requirements for audits, process student enrollment, transfers, and withdrawals; make decisions within the scope of assigned authority; be able to communicate with staff, students, and community.
Qualifications
Minimum two (2) years of secretarial experience.
Proficient in the use and application of Windows, Word, Excel, PowerSchool and database software.
Relate effectively with staff and public; maintain integrity of data and information; work independently; maintain composure in stressful situations.
Experienced in dealing with personal and confidential information.
Ability to perform duties with knowledge of district requirements and policies.
Excellent verbal and written communication skills.
Ability to handle multiple projects, meet deadlines in a fast-paced environment, problem solve and prioritize work.
Experience with medication administration.
Responsibilities (other duties may be assigned):
Input and assign number for all students
Meet and enroll all new students to district
Prepare verification report for teachers at each marking period
Prepare report cards for distribution
Prepare reports for various administrators as needed
Complete all data entry for setting up the master schedule
Run student schedules for registration; help with scheduling problems and conflicts
Assist counselors with balancing classes
Prepare reports to be sent to the KISD
Prepare transcripts for sending to colleges
Answer all inquiries concerning student records
Prepare and send transcripts as needed for former students
Make appointments with parents for scheduling next year's classes
Handle requests from parents for assignments for ill students
Assist counselors and staff as needed for student information
Request all CA-60's for incoming students
Send records for students no longer in Grandville High School
Send transcripts for all seniors to selected colleges
Post final grades to the transcript file
Supervise maintenance and storage of official cumulative records and transcripts
Perform "end of year processing" to erase the class file, student schedules, teachers schedules, attendance and grade records and promote the students to the next grade.
Summer Schedule: Send out transcripts requested by students
Manage Daily Substitute assignments for District and prepare bi-weekly reports for EduStaff.
