Project Controls Specialist III

Job Summary
The Project Control Specialist III helps support major program management jobs and individual project managers. The Project Control Specialist III will be responsible for scheduling, cost control, document control, action items management, progress reporting, data analysis and reporting. Additional duties may include assisting Project Controls Manager with internal training.

Essential Duties & Responsibilities

Create project schedules from scratch and maintain schedules throughout the project life‑cycle

Develop and maintain project cost control tracking spreadsheet/system and keep track of contract task orders, change orders, and budget/expenditures

Establish document control system

Review invoices and deliverables

Coordinate project meetings and follow‑up on action items

Prepare and maintain progress reports

Assist in developing proposal schedule, rate sheet, and cost proposal

Lead development and implementation of Project Management Information System (PMIS)

Design and maintain project‑specific SharePoint site

Assist in developing team training modules and SOPs

Assist in generating new tasks for the team by showcasing existing tools to internal and external PMs

Other duties as assigned or required to meet the business needs

Qualifications
Knowledge, Skills, & Abilities

Advanced‑level understanding of scheduling principles

Advanced knowledge of utilizing industry standard scheduling software including cost and resource loading

Intermediate to advanced level Microsoft Excel skills

Proficient with other MS Office 365 applications

Excellent organizational and multi‑tasking skills

Strong communication skills – verbal and written

Ability to interface effectively and collaborate with clients, peers, management, and vendors to successfully meet shifting needs

Ability to apply logical thought processes and organise resources to solve issues and meet commitments

Proficiency with electronic communications including e‑mail and text as well as standard office applications (i.e., Microsoft Office Suite)

Proficiency in data analytics, modelling, and use of analytics software

Required Education And Experience

College degree

Minimum 4 – 6 years of experience performing the tasks described herein

Preferred Education And Experience

Intermediate experience in analysing large amounts of data and developing visual graphs to communicate key information

Advanced‑level skills and knowledge in SharePoint, Visio, Access, Power BI, and Power Automate

Experience with leading the design and implementation of Project Management Information System (PMIS)

Experience with using data management tools such as Power Pivot, Power Query, and DAX functions and formulas

2 – 4 years of experience in the A/E/C industry

Additional Qualifications, Certifications, Etc.

CAPM Certification (Preferred)

PMP Certification (Preferred)

PMI‑SP Certification (Preferred)

PSP Certification (Preferred)

Internal Relationships

Support major program/project management jobs and individual project managers, discipline leads, and management

Interacts with Marketing team for proposal creation

External Relationships

Interact with general clients and sub‑consultants

Work Environment

The work is in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers and filing cabinets.

Physical Demands

This is largely a sedentary role; however, some filing may be required. This would require the ability to lift files, open file cabinets and bend or stand as necessary.

Travel

This position has limited travel if necessary. On occasion, travel to RailPros headquarters, field offices, client offices, work sites and other project related locations may be required.
