Job Summary
Provides administrative support to members of the executive staff, Board of Directors, and other La Red Health Center programs as assigned and directed by the Chief Executive Officer. Exercises independent judgment in the resolution of administrative problems.
Essential Responsibilities
The following duties are not intended to serve as a comprehensive list of all duties performed by all associates in this classification. Listed are duties intended to provide a representative summary of the major duties and responsibilities. Incumbent(s) may not be required to perform all duties listed and may be required to perform additional, position‑specific duties.
Prepares confidential materials in support of the executive staff and Board of Directors.
Assists in administrative preparation of reports and grant applications and performs other related secretarial and clerical duties as requested by the executive staff. Uses various software applications, relational databases, statistical packages and graphics packages to assemble, manipulate and/or format data and reports.
Maintains copies of organizational reports, minutes, grant applications, and other archival materials.
Creates presentations, videos, reports as required.
Coordinates meeting with the Board of Directors, its committees, staff and other La Red Health Center sponsored meetings. This includes coordination of all meeting logistics (location, meals and materials) and taking, preparing and distributing Board meeting minutes and related documents to the directors and the executive management team.
Assists with scheduling executive staff appointments, making travel arrangements and other scheduling as required. Maintains the schedule for the La Red Health Center Conference Room.
Receives, screens, and forwards executive telephone calls. Greets clients and visitors.
Orders and maintains inventory of office supplies and equipment for administration area.
Schedules and coordinates La Red Health Center’s participation in community special events.
Attends various meetings and takes minutes.
Performs other duties as assigned by the Chief Executive Officer.

Education and/or Experience
Bachelor’s Degree in Human Services, Business or Health related field.
Computer proficiency with Outlook, Word, Excel required. Prior experience with EMR preferred.
Ability to work independently and supervise the work of others.
Ability to work and deal professionally with State, Board and government officials.
General knowledge of office procedures and equipment.
Strong organizational and interpersonal skills.
Previous administrative experience preferred.
Flexibility to work irregular hours and to work with multi-cultural, diverse individuals.
Language Skills
Bilingual English/Spanish required.
Performance Requirements
Knowledge
General knowledge of office procedures and office equipment.
Computer proficiency with Microsoft Office and other programs.
Familiarity with EMR system and coding for invoicing.

Work Environment
Standard administrative office in Health Center. Controlled lighting, air quality, and temperature settings. Environmental hazards may be unpredictable including exposure to communicable diseases.
Mental/Physical Requirements
Involves standing, walking, kneeling, bending, grasping, manipulating and squatting and lifting (up to 50 pounds). Walking or standing may be more than four (4) hours per day. Must be able to work in a standard medical office setting including use of a computer, and standard office equipment. Must have ability to read computer screens, printed materials and hearing and speech to communicate in person as well as over the phone. Must be able to attend meetings at various sites when required. Stress can be triggered by workload.
