We are seeking a highly organized and proactive Executive Assistant to support senior leadership. This role is responsible for managing complex schedules, coordinating cross-functional activities, and ensuring seamless day‑to‑day operations. The ideal candidate is detail-oriented, resourceful, and thrives in a fast‑paced, high‑growth environment.
Responsibilities
Executive Support & Calendar Management
Manage complex calendars, including scheduling internal and external meetings across multiple time zones
Prioritize and coordinate competing requests, ensuring alignment with business priorities
Prepare agendas, materials, and briefing documents for meetings
Track action items and follow‑ups to ensure timely completion
Communication & Coordination
Serve as a primary point of contact between executives and internal/external stakeholders
Draft, review, and manage communications on behalf of executives
Coordinate cross‑functional meetings and ensure alignment across teams
Maintain a high level of professionalism and confidentiality in all interactions
Travel & Logistics
Arrange domestic and international travel, including flights, accommodations, and itineraries – paying attention to individual executive preferences
Manage expense reporting and reconciliation in a timely manner
Coordinate logistics for offsites, team events, and executive meetings
Proactively create packages to prepare executives for travel prior to their departure
Operations & Project Support
Support special projects, presentations, and reporting as needed
Assist in preparing materials for leadership meetings, board meetings, and client engagements – including follow up materials, notes and takeaways
Identify opportunities to improve processes and increase efficiency
Partner with other administrative staff to ensure coverage and continuity
Act as back‑up and overflow support for office management activities, including setting up/breaking down for internal and external meetings, managing office supplies, etc.
Qualifications
5+ years of experience supporting senior executives, preferably in a fast‑paced or technology‑driven environment
Strong organizational and time management skills with exceptional attention to detail
Excellent written and verbal communication skills
Ability to manage multiple priorities and adapt quickly to changing needs
High level of discretion and professionalism when handling confidential information
Proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint) and collaboration tools (e.g., Slack, Zoom)
Experience with calendar management across multiple stakeholders and time zones
Preferred Qualifications:
Experience supporting C‑level executives
Experience in media, advertising, or technology environments
Familiarity with expense management and travel platforms (e.g., Concur)
Strong problem‑solving skills and a proactive, solutions‑oriented mindset
Eligibility:
