Position Information

Position Overview
The Extension Administrative Assistant position provides office support, under supervision, to the Extension staff and does related work as required to support educational programs in a variety of areas including data entry, procurement and management of office & building supplies and programming materials. Responsibilities include providing administrative support for the County Extension Director and other staff/program areas including Agriculture, Local Foods, 4-H, and Family and Consumer Science. Position interacts with other county departments (Human Resources, Finance, Budget, etc.) to ensure effective relationships with county government and partner organizations working with Extension staff. The County Administrative Assistant will work with the County Extension Director to develop and effectively manage the county budget and maintain monthly expense records.
Other Work/Responsibilities - The County Administrative Assistant will provide customer service to call-in and walk-in clientele and should have the ability to respond to all clientele. This position will be responsible for assisting in developing and maintaining county budgets, maintaining grant fund budgets, managing certain Extension reports and communicating with Extension administration, website updates, and creation of the monthly Extension newsletter and marketing materials for Extension Agents. They will also serve as Seniors' Health Insurance Information Program Coordinator. The Seniors' Health Insurance Information Program (SHIIP) counsels Medicare beneficiaries and caregivers about Medicare, Medicare supplements, Medicare Advantage, Medicare Part D, and long-term care insurance. ASHIIP(Seniors' Health Insurance Information Program) Coordinator manages the daily operations of Medicare counseling services, acting as the primary contact for Medicare beneficiaries. They recruit and train volunteers, provide unbiased counseling on Medicare/Medicaid benefits, ensure compliance with state/federal regulations, and conduct community outreach.

Requirements and Preferences
Work Schedule - Monday - Friday 8:30am 5pm business hours, with occasional flex hours to attend night and/or weekend events and to support programs.
Minimum Experience/Education - Graduation from high school and two years of related experience; or graduation from a two-year secretarial science or business administration program and one year related experience
Department Required Skills - Must be proficient in Microsoft Excel and WordMust have experience with accounting.*Must have efficient keyboarding and computer skills.*Must be understanding of confidentiality and professionalism for personnel issues.*Must possess good written and oral communication skills.*Must have the ability to respond to diverse audiences.*Must have good organizational skills.*Must be able to work independently with minimal supervision.*Must be highly motivated and comfortable taking initiative with the assigned task.*Must be a good team worker dedicated to supporting a creative, supportive and positive work environment.
