
Clinic Coordinator- Primary Care (Cinco Ranch/ Rickmond)

At Houston Methodist, the Clinic Coordinator is a multifaceted clinic‑based role that, in conjunction with management, organizes the daily activities of the clinic to ensure provider support, patient experience, and the completion of advanced and complex clinic/administrative tasks. This position works to create the best possible working environment for patients, providers, staff, and management. The incumbent may also be required to perform scheduling activities (appointments, procedures, surgeries), ensure medical necessity compliance, and verify eligibility for care. Other duties include independently and expertly performing the duties and responsibilities of preceptor and clinical resource to Medical Assistants, training and orienting others as appropriate, and directing all aspects of daily clinic operations to support and maintain organizational and departmental policies and procedures. Additionally, the Clinic Coordinator will provide training and oversight in the pursuit of unparalleled safety, quality, service, education, and innovation for our patients.

Qualifications
Education
High School diploma or equivalent education (e.g., GED, verified homeschool equivalency, partial or full completion of post‑secondary education, etc.)
Experience
Five years as a Senior/Advanced Medical Assistant.
Two years of demonstrated leadership experience (e.g., mentor, quality control, or clinical process improvement) preferably in health care.
One year of training experience preferred.
Licenses and Certifications
Required
BLS – Basic Life Support or Instructor (AHA) – American Heart Association.
Medical Assistant Certification CMA from NAHP, NCCT, NHA, AAMA or RMA from AMT or CCMA from NHA.
Preferred
CPT – Certified Phlebotomy Technician (ACA).

Essential Functions
People Essential Functions
Coordinate patient flow, obtain patient demographics as needed, prepare patient for provider/mid‑level visit, and provide backup to clinic staff.
Organize daily schedules and work activities; provide coverage to meet patient needs.
Assist with triage, patient prescription, re‑fills, referrals, and prescription education; independently execute preceptor duties, serve as a clinical resource, guide and mentor colleagues, and provide structured feedback.
Work with clinical management to assess and determine process protocols for the clinic and conduct meetings with clinic staff and Practice Manager.
Service Essential Functions
Engage in planning, organizing, and directing all aspects of clinic operations; collaborate with leadership, other clinics, and Medical Assistants to develop new processes and/or procedures for continued patient care.
Provide quality oversight for documentation of vital signs, chief complaint(s), perform medication reviews, and discuss/review medical and social history (as appropriate). Document all diagnostic measurements, treatments, and procedures in the EMR in accordance with established policies.
Quality/ Safety Essential Functions
Interpret documents such as provider orders, safety rules, operating and maintenance instructions, and procedure manuals; follow up with patients to ensure compliance with recommendations, medications, lab/x‑ray results, special visits, PCP visits, dietitians, diabetes educators, etc.; ensure patient activation of MyChart.
Provide initial investigation and information for internal and external complaints to management.
Coordinate care with hospital, ED, consulting physicians, and/or community resources whenever appropriate and handle patient inquiries.
Model behaviors and skills through peer‑to‑peer accountability to improve department patient satisfaction scores.
Lead efforts, in collaboration with clinic management, to assure that Environment of Care rounds are performed monthly in the clinic setting.
Finance Essential Functions
Provide oversight of clinic resources to align with clinic budgetary goals and objectives; assist in long‑range planning of clinic needs.
Arrange for pre‑authorizations and pre‑certifications of procedures as needed.
Growth/Innovation Essential Functions
Participate in curriculum development for Graduate Medical Assistant staff; provide development and guidance for new clinical employees.
Collaborate with clinic management on process improvement.
