About the role
Senior Event Specialist
Leads the full life cycle of small and medium scale, division wide events—from strategic planning and communications through on site program execution. Elevates engagement through well designed, high impact event experiences. Owns all logistical and operational components, including venue sourcing, vendor evaluation and negotiation, budgeting, travel coordination, on site leadership, and post event reconciliation. Serves as a primary partner to internal stakeholders and external vendors, ensuring every event aligns with organizational goals, brand standards, and attendee needs. In addition to managing the divisional event portfolio, also provides strategic and executional support for Trustmark’s flagship events, helping drive consistency, excellence, and a cohesive enterprise event experience.
Key Accountabilities
Lead end‑to‑end logistical operations, including venue sourcing, contract negotiation, vendor selection, accommodations, travel arrangements, and comprehensive on‑site coordination.
Oversee full event budget lifecycle by forecasting, tracking, and reconciling all costs to ensure financial accuracy and alignment with organizational guidelines.
Serve as the primary on‑site events lead, overseeing food and beverage service, managing event supplies, coordinating audio/visual and technical needs, directing meeting room setup, and ensuring décor and room design meet event standards.
Ensure all event materials, assets, and resources are produced, organized, and delivered accurately and on schedule.
Monitor and track event and conference attendance; coordinate travel logistics and attendee activities to ensure seamless participant experience.
Manage the Trustmark Event Calendar and maintain accurate scheduling in Outlook for both internal and external stakeholder groups.
Individual Event Strategy and Execution
Develop, manage, and monitor detailed event budgets; track expenses, process and reconcile invoices, and ensure all events are delivered on or under budget.
Prepare, maintain, and distribute comprehensive event reports to key stakeholders.
Draft, refine, and distribute clear, engaging event communications to keep participants well‑informed; collaborate with the creative team to produce materials that drive enthusiasm and enhance the overall attendee experience.
Collect and analyze attendee feedback; evaluate event outcomes, assess ROI, and provide actionable insights and recommendations to inform and strengthen future initiatives.
Other duties as needed/assigned.
Minimum Requirements
Bachelor’s Degree and/or 4 — 6 years of related experience OR High School Diploma or GED with 6-8 years of related experience.
2+ years of experience planning corporate meetings, sales conferences, or other internal and/or external events.
Strong organizational skills and ability to manage a significant workload for multiple internal and external stakeholders with competing deadlines.
Proficient in the use of Microsoft Office suite of tools with the ability to learn new applications as they are introduced.
Strong project management and communications skills, attention to detail, creativity, and the ability to manage multiple priorities in a fast‑paced environment.
Ability to manage events outside of standard business hours and occasional travel.
Preferred
Knowledge of the insurance, financial services, or benefits industry.
Relevant certifications such as CMP (Certified Meeting Professional) or CMM are a plus but not required.
Familiarity with database management.
Compensation
The compensation range for this role is based on the corporate location in Lake Forest, Illinois: $71,520.40 – $103,307.70 per year.
