Overview Of Position / Department
The

Legal Secretary

performs routine secretarial duties related to the preparation and processing of legal documents for the Criminal or Civil Justice Division of the City Attorney’s Office.

Primary Duties & Responsibilities

Types a variety of legal documents, including correspondence, memoranda, legal pleadings, briefs, forms, motions, and reports

Performs data entry on a Linux Environment/Computer System

Gathers data and creates statistical reports

Initiates, develops, maintains, and closes legal case filings

Utilizes Colorado Bureau of Investigations software (NCIC/CCIC & DMV searches)

Orders and obtains various legal case-related documents for Attorneys

Processes legal case paperwork from incarcerated defendants, warrants, State Motor Vehicle, CCIC/NCIC, process servers, and court personnel

Files legal documents and correspondence

Communicates by telephone, Microsoft Teams, or e-mail with Defense Attorneys, the public, court/law enforcement personnel, other agencies, and officials

Prepares and processes dockets, witness lists, personal service, and subpoenas

Requests police body‑worn cameras, various forms of digital evidence, and police property for case preparation

Prepares and/or cancels WRITS for in‑custody Defendant transports and requests interpreter services for future court settings

Maintains legal library and electronic records

Works with electronic case management and e‑discovery systems

Performs additional duties as assigned

Minimum Qualifications & Working Conditions
An equivalent combination of education, training, and experience that demonstrates required knowledge, skills, and abilities may be considered.

Education

High school diploma or equivalent (GED)

Experience

At least three (3) years of related technical and administrative support experience.

Experience in a legal office preferred.

Knowledge

General office procedures.

Legal terminology.

Legal forms.

Personal computers, including related word processing software applications.

Skills

Strong interpersonal and leadership skills.

Typing at a minimum rate of 50 net words per minute.

The use of personal computers, including related word processing software.

Intermediate skills in Microsoft Excel.

Abilities

Establish and maintain effective working relationships with Attorneys, court personnel, employees, citizens, and elected officials.

Multi‑tasking ability to effectively manage multiple projects with deadlines.

Communicate effectively both verbally and in writing.

Handle sensitive situations with tact and diplomacy.

Prioritize work.

Working Conditions
Essential Personnel

When a local announcement of emergency or disaster is declared by the city, all City of Aurora employees may be required to work as essential personnel.

Physical Demands

Light physical work lifting 20 pounds at a time, with frequent lifting or carrying of objects weighing up to 10 pounds with or without assistance.

Occasional walking and standing.

Frequent hand/eye coordination to operate the computer keyboard and office equipment.

Vision sufficient to read computer screens, reports, and related department documents.

Dexterity to operate computer keyboards and other related office equipment.

Endurance sufficient to sit and work at a computer for extended periods of time.

Frequent speech communication and hearing to maintain communication with employees and citizens.

Work Environment

Works primarily in a clean, comfortable office environment.

Equipment Used

Frequently uses standard office equipment, including computers, calculators, multi‑line telephones, copiers, and fax machines.

Frequently answers the telephone.

This position may require the incumbent to use personal equipment (e.g., vehicle, cell phone, tools, etc.) in the course of their employment.

The city of Aurora will implement furlough days (unpaid days off) for most employees in 2026. The scheduled furlough dates are January 16, April 10, July 2, and December 24.
