Job Description
Under general direction, the (By Invitation Only) BIO Coordinator leverages extensive knowledge and skills acquired through education and professional experience to manage and support all aspects of the client VIP program, the By Invitation Only (BIO) program. The role requires deep familiarity with working with High Net Worth (HNW) and Ultra‑High Net Worth (UHNW) clients to deliver an exceptional client and advisor experience. This position is highly collaborative and relationship‑driven, requiring close partnership with Financial Advisors, internal teams, and Subject Matter Expert (SME) partners. The BIO Coordinator must demonstrate a high level of dependability, flexibility, and the ability to pivot quickly in a fast‑paced, evolving environment while showing an elevated level of service. The role plans and organizes multiple simultaneous high‑level and high‑profile meetings and events. Work is varied and often complex, requiring sound judgment, originality, and the ability to independently resolve challenges. The BIO Coordinator may lead defined projects of major scope, provide training, and coordinate the work of others with limited guidance.

Essential Duties And Responsibilities

Oversees end-to-end planning, coordination, and execution of the firm’s By Invitation Only (BIO) program meetings, events, and related activities.

Coordinates additional High Net Worth and Private Wealth initiatives as assigned.

Provides a consistently high level of service to program participants, including Private Wealth Consultants, Financial Advisors, internal partners, and external professional partners.

Builds and maintains strong, trusted relationships with advisors and SME partners to support collaboration, program alignment, and overall program success.

Establishes, maintains, and continuously improves the integrity and effectiveness of By Invitation Only program tools and resources.

Partners closely with technology teams and vendors to enhance and automate program tools and workflows, including ongoing development of the SmartSheet tool.

Develops, maintains, and updates all client‑ and advisor‑facing program materials, including brochures, internal documentation, and internal/external web resources.

Manages all vendor and partner relationships associated with By Invitation Only.

Reviews, approves, and tracks all program‑related expenses and transactions, ensuring budget discipline and accuracy.

Ensures proper use of technology across all program meetings and operations, including video conferencing platforms, presentations, and process technology tools.

Supports program expansion, enhancements, and continuous improvement initiatives.

Participates in establishing objectives, processes, and procedures to ensure efficient, timely, and scalable workflows.

Maintains a strong working knowledge of the assigned area of responsibility and industry best practices.

Performs other duties and responsibilities, as assigned.

Knowledge Of

Concepts, principles, and practices related to VIP programs and the financial services industry.

Advanced project and program management concepts.

Meeting and event planning, design, and execution principles.

Hospitality concepts, service standards, and best practices.

Various communication styles, stakeholder engagement strategies, and relationship management techniques.

Skill In

Creating, implementing, and refining processes to support best practices and timely workflows.

Interpreting and applying policies, procedures, and compliance requirements.

Scheduling multiple speakers and multiple meetings on a daily basis; developing communication materials, reports, and presentations.

Promoting effective coordination and collaboration across multiple teams.

Using standard office equipment and software applications, including SharePoint, SmartSheet, Spoonfed, Access, and related tools.

Educational / Previous Experience Requirements

Extensive education, training, or professional experience, including backgrounds in hospitality, meeting planning, or event management, with demonstrated experience supporting HNW or UHNW clientele.

Bachelor’s Degree (B.A.) in Business Administration or a related discipline with a minimum of two (2) years of experience in an assigned or related function.
