Responsibilities
Perform a wide variety of administrative and technical support functions of a highly responsible nature in relieving a Director or Elected Official of technical, organizational and administrative duties under basic supervision.

Perform experienced clerical, technical, and administrative duties, including special projects, program activities, calendar management, coordinating activities, data management, record keeping, research, and confidential technical assistance to customers in accordance with County policy and procedures.

Assist work group with County administrative support functions, explain rules, policies, and procedures, work independently, and make appropriate decisions based on experience.

Exercise initiative in technical assignments, develop reports, apply judgment to resolve problems, and refer policy matters to supervisor as needed.

Manage special projects and programmatic assignments, create, review, edit, and process memoranda and communications.

Maintain department files and library, collect statistics, produce administrative, technical, and statistical reports, and update records and tracking systems.

Purchase and distribute supplies, manage inventory, coordinate with vendors, and resolve customer service issues.

Assist with budgets, travel expenses, reimbursements, and financial reports as assigned.

Provide experienced customer service and information to visitors and staff, and assist with requests, applications, and documents.

May supervise daily activities of clerical staff.

Coordinate activities for managers and directors and support recruitment processes as needed.

Maintain confidentiality of work-related issues, customer records, and restricted information.

Perform other related duties as required.

Qualifications

High school diploma or GED.

Four (4) years of progressive administrative, computer, and/or accounting experience.

Or an equivalent combination of education and/or experience may substitute for the minimum requirements.

Preferred Qualifications

Arizona residents must have an Arizona Driver’s License upon hire; newly established Arizona Residents must have one within 30 days of hire.

Associate's Degree.

Specific technical training and certification may be required for some incumbents.

Knowledge of applicable policies and regulations; Federal and state laws; County administration policies including accounting, budgeting, payroll, and personnel regulations.

Knowledge of record keeping, scheduling, and confidential records management.

Knowledge of county and state forms, software applications, and network environments.

Knowledge of customer service principles and MS Office.

Skills in interpreting policies, researching data for projects, and preparing reports.

Ability to work independently, maintain composure and confidentiality, and meet deadlines.

Ability to plan, organize, and supervise staff; provide quality customer service; and communicate effectively orally and in writing.

Physical Demands
The work is sedentary and may require exerting up to 10 pounds of force occasionally to lift or move objects. The role requires finger dexterity, reaching, repetitive motion, and sensory functions such as hearing and vision.

Work Environment
Work is performed in a safe and secure environment with potential periodic/unpredictable demands.
