BMC2 Administrative Specialist

BMC2 is a collaborative consortium dedicated to improving the quality of care and outcomes in patients who undergo cardiovascular procedures across the State of Michigan. BMC2 is comprised of registries in PCI, Vascular Surgery, MISHC ? Structural Heart, a new Heart Failure registry, in addition to co‑leading the MiCR cardiac rehab initiative. Support for BMC2 is provided by Blue Cross and Blue Shield of Michigan and Blue Care Network as part of the BCBSM Value Partnerships Program.
We are seeking an experienced Administrative Specialist to support the organization’s day‑to‑day activities and collaborate with core program leadership, external partners, and BMC2 team members.
Office Administration

Deliver comprehensive administrative support for multiple registries and teams.
Coordinate conference room scheduling.
Draft professional correspondence, memoranda, and reports.
Execute day‑to‑day office operations, supporting staff with administrative needs.
Administer annual office initiatives: space survey, emergency call list, flu vaccination program.
Maintain detailed employee management records (UM ID, contact info, anniversaries, birthdays).
Support tuition reimbursement processes.
Grant shared drive access and manage fire safety/emergency procedures.
Initiate building access requests, update nameplates, distribute keys.
Assist in content creation (emails via Emma; design materials on Canva).
Financial Operations

Prepare, track, and reconcile annual and monthly expenditures.
Process accounts payable (invoices, peer review, PAC) and accounts receivable (EPCI/PPCI payments), including follow‑up to completion.
Pay honoraria.
Renew recurring subscriptions (Emma, Airtable, Bitly, Biteable, Canva, rent, ITS MiStorage, phones, Michigan Creative/Web).
Request journal entries (JE) as needed; manage charges to short codes and oversee creation of new codes.
Administer MiCR Rehab Grants, including fund receipt, signature collection for amendments, and invoice payment.
Event & Meeting Coordination

Provide logistical support (agendas, AV, room, materials, day of) for virtual and in‑person meetings, conferences, and trainings.
Prepare travel arrangements and process reimbursements for staff, faculty, and guests.
Attend meetings to support on‑site event logistics (some weekend, evening support is required).
System and Access Management

Create/renew UM accounts for external collaborators and facilitate REDCap access.
Distribute communications regarding REDCap maintenance/downtime.
Communication

Maintain BMC2 and MISHC websites; upload/remove documents, update meeting information and agendas annually. Request updates for maps or site information.
Social media experience including LinkedIn and YouTube.
Interest in or experience with basic video editing skills or willingness to learn.
Experience translating technical or medical diction for the lay audience.
Interest in or experience with Canva or willingness to learn.
Interest in or experience in photo editing.

Qualifications

At least five (5) years of progressive administrative experience.
Bachelor's degree.
Must be detail‑oriented and focused with the ability to work independently as well as part of a team.
Has the ability to multi‑task with the propensity to adjust for changing priorities is necessary.
Demonstrated proficiency in the use of computers including standard applications such as Excel, Word, PowerPoint, and Outlook.
Demonstrated integrity, strong initiative, problem‑solving skills, be highly reliable, retain a sense of ownership and accountability for workload, be flexible and resilient, provide excellent customer service, and possess expert follow‑up skills.
Excellent written and verbal communication skills and ability to interact with and build professional relationships across all organizational levels; demonstrated ability to handle confidential and sensitive information appropriately.
Demonstrated ability to maintain productivity and flexibility under pressure and able to meet deadlines.
