
Donor Stewardship Coordinator

The Donor Stewardship Coordinator is responsible for overseeing Paws of Honor’s event operations, donor stewardship, and key development support functions. This role serves as a central point of coordination for donor data integrity, acknowledgments, fundraising events, and volunteer program leadership. The position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities while ensuring an excellent donor and partner experience.
Key Responsibilities
Donor Stewardship
Oversee donor entry and updates in NetSuite (NS), including data from GiveSmart, Cardpointe, charity portals, and direct donations.
Ensure timely processing and acknowledgment of donations, including:
Thank-you letters for donations of $250 and above and recurring donors.
Thank-you cards for ATA and HSP responses, memorial donations, and check donations.
Respond to direct mail donor inquiries and donor-related emails in a professional and timely manner.
Answer Paws of Honor phone line and assist with donor inquiries.
Process and enter Papal Donations into NS on a quarterly basis.
Download and process HSP reports and upload data into NetSuite.
Manage Cardpointe entries for new donor constituents and recurring donations.
Process bank deposits and serve as backup support for deposit processing as needed.
Ensure accuracy and consistency of donor records and financial data across systems.
Systems & Portal Administration
Maintain and update charity portals, including donation acceptance, NetSuite entry, and generation of thank-you cards.
Ensure all donor and event-related systems are current, accurate, and aligned with organizational standards.
Event Management & Reporting
Serve as Event Lead for assigned fundraising and community events, coordinating logistics, timelines, and follow-up activities.
Maintain and update the organizational event calendar to ensure accuracy and visibility across departments.
Prepare and deliver event profit and loss (P/L) reports following each event.
Lead and manage participation in the Combined Federal Campaign (CFC), serving as the primary point of contact.
Lead the Volunteer Program, including coordination, communication, and support.
Manage sponsor relations, including vendors, merchandise partners, individual donors, and corporate sponsors.
Support merchandise order fulfillment as a backup when needed.
Qualifications
Bachelor’s degree or equivalent professional experience in nonprofit management, fundraising, event management, or a related field.
2–4 years of experience in nonprofit development, donor relations, or event coordination preferred
Proficiency with donor management systems (e.g., NetSuite), event platforms (e.g., GiveSmart), and payment processors (e.g., Cardpointe).
Strong organizational, analytical, and communication skills.
High attention to detail with the ability to manage confidential donor information.
Ability to work independently and collaboratively in a mission-driven environment.
Willingness to own your area of responsibility.
