
Student Services Coordinator for Graduate Learning

Responsibilities
Supervise the overall daily operations of SBU Graduate Student Services; serve as liaison with our Online Program Management partner pertaining to student support.
Coordinate SBU student support services with our online partner and internal SBU services including admissions, records, financial aid, corporate partnerships, early assurance, and billing.
Directly support students in campus-operated fully online graduate programs and assist in the support of on-campus graduate programs as needed.
Work closely with the online partner’s support team and SBU graduate admissions to facilitate the process of onboarding new students from admittance through registration for classes and into Moodle, and communicate financial aid needs and processes with the online partner.
Facilitate informational needs of students when needed, providing technological assistance in coordination with the online partner and other SBU support systems.
Respond to students’ concerns (directly or via success coaches) and take appropriate actions based upon these concerns.
Assess online billing reconciliation for each 7‑week session, ensure proper coding and Revenue Share percentage assignment, discuss discrepancies with the online partner, and review adjustments with CIO.
Work closely with the graduate admissions director to track early assurance students and assist as needed.
Update best practices and procedures with SBU offices such as financial aid and billing to improve student support.
Work closely with the graduate dean, program directors, school deans, and registrar regarding dismissals and withdrawals; communicate with the online partner.
Assist in modification of program course carousels – meet with deans and program directors and OPM to recommend possible changes or additions to course offerings based on student demand.
Maintain the online version MySBU, locally designed for the online learner, updating all materials and communicating with departments (Financial Aid, Registrar’s Office, Bursar) for updates.
Meet with program directors and OPM regularly to discuss issues with programs, courses, and students.
Maintain/update SBU Online active student list, working closely with OPM and registrar to manage changes including graduation deferrals, leaves of absence, dismissals, etc.
Work with graduate admissions to track corporate partnership students.
Education
Bachelor’s degree preferred.
Years of Experience
Two to three years’ experience working with student populations.
Knowledge, Skills, and Abilities
Proficient in Moodle, our online learning management system.
Ability to exercise and apply sound judgment and decision‑making skills.
Familiarity with online graduate program requirements and timelines.
Ability to work with multiple offices campus‑wide to support online students’ needs.
Skilled with software use including the Slate CRM and Microsoft Office software (Word, Excel, PowerPoint).
Ability to handle highly confidential material and maintain strict confidence.
Ability to work effectively and independently in a fast‑paced, dynamic environment.
Skilled in exemplary customer service, including dealing effectively with students, faculty, staff, and vendors.
Ability to identify problems and propose feasible solutions.
Strong organizational skills, ability to work well under pressure and meet deadlines.
Working Conditions / Physical Requirements
Regular exposure to computer screens.
