Senior Assistant Property Manager
Under the supervision of the Property Manager, the Senior Assistant Property Manager is responsible for assisting in all areas defined as part of the Property Manager job description. This is a management role that will directly and indirectly supervise individuals, building staff, operations, and coordinate the various functions. Primary responsibilities include ensuring client facilities generate a satisfactory cash flow, the property is maintained in accordance with client standards and requirements and customer satisfaction.

Job Description
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
Manage the building staff in the absence of the Property Manager or General Manager, including all managerial functions as directed by the manager.
Handle all building correspondence to and from clients, tenants and vendors as directed by the Property Manager or General Manager.
Prepare and maintain all property files, leases, and contracts in an orderly, logical manner.
Obtain aging reports on behalf of the Property Manager or General Manager and follow up on all delinquencies using C&W or client‑directed policies.
Ensure invoices are processed in accounting with appropriate back‑up and according to established procedures.
Prepare lease abstracts for all tenants and a monthly rent roll for management review.
Coordinate tenant move‑ins and move‑outs, including furniture delivery and pick‑up.
Coordinate tenant requests for above‑standard work: obtain estimates, provide proposals, release work, and invoice tenants accordingly.
Oversee maintenance of work order and purchase order systems.
Maintain the Tenant Service Package, including handbooks, anniversaries, holiday gifts, park events, quarterly newsletters, and training programs; keep tenant data accurate.
Update and maintain office procedures in the Property Operations Procedure Manual.
Ensure Certificates of Insurance for tenants and vendors are up to date.
Oversee the processing of staff hours, expense reports, and check requests for review and approval.
Process above‑standard tenant bill‑backs for electrical usage, after‑hours HVAC, and similar charges in a timely manner.
Prepare portions of annual budgets, CAM reconciliations, and monthly financial reports; handle bank deposits at the onsite office.
Lead regular inspections of properties with janitorial, landscape, and other service providers as directed by management.
Participate in performance oversight of all service contractors.
Oversee aspects of tenant improvement work under management oversight.

IMPORTANT EDUCATION
Bachelor’s Degree in Business
IMPORTANT EXPERIENCE
2+ years of real estate property management or related experience
ADDITIONAL ELIGIBILITY QUALIFICATIONS
Active Real Estate license in the state worked in OR RPA or CPM professional designation(s)
Basic understanding of computer software programs and base building systems
Basic understanding of the reconciliation process for CAM, insurance and real estate taxes, and lease terms
Ability to assign tasks and manage others’ workloads
WORK ENVIRONMENT
This job operates in a professional office environment. It routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines. It requires regular travel between properties in varying weather conditions.
PHYSICAL DEMANDS
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. The employee may need to travel from floor to floor, climb stairs, and walk between buildings in varying outdoor weather conditions. The employee may also be required to remain in a stationary position for about 85% of the time and operate office machinery regularly.
