Job Description:
Provide full-time, on-site project support to the Moon to Mars Space Weather Analysis Office (M2M SWAO) and the Heliophysics Science Division (Code 670) and Solar System Exploration Division (Code 690) at NASA Goddard Space Flight Center (GSFC). This role requires a proactive, self-sufficient problem-solver and confident communicator. Responsibilities:
Operations Room Coordination:
Serve as the coordinator for the M2M SWAO operations room (running 24/7 during Artemis missions) by troubleshooting equipment, ensuring a safe and orderly facility, and acting as a knowledgeable, welcoming presence for analysts and visitors.
Analyst Scheduling & Readiness:
Manage shift scheduling of assigned analysts, track travel and leave, ensure back-up coverage, and monitor analyst workload and adjust schedule accordingly, ensuring readiness and sustainable performance especially during 24/7 cycles.
Meeting & Event Facilitation:
Coordinate daily hybrid tag-ups, meet-ups, and special events by managing logistics, badging, A/V setup, note-taking, and action-item and key decision tracking to ensure seamless execution and communication. Represent the organization and communicate critical information in the absence of the Director and Deputy Director.
Executive Calendar Management:
Manage and forecast calendars for the Director and Deputy Director to prevent conflicts, ensure workday balance, and align daily activities with the office's strategic goals.
Technical Writing & Process Development:
Create, edit, and deliver presentations, reports, and project documentation. Develop and document standard operating procedures (SOPs), internal workflows, and work instructions to standardize and improve services. Identifies and implements efficiencies and streamlines processes. Organizes tasks and projects using MS Planner or similar tool.
Data Call Management:
Serve as the primary point of contact for gathering, consolidating, and submitting data calls for 670 and 690. Establish internal deadlines to ensure timely compliance with directorate and center-level data call requests. Review and quality-check all collected data for accuracy, completeness, and adherence to specific guidelines before final submission.
Action Item Tracking and Resolution:
Maintain and manage action item logs for projects and teams. Proactively follow up with assignees to ensure deadlines are met and provide regular status updates. Identify bottlenecks or overdue actions and escalate critical issues to management when necessary.
Reporting & Documentation:
Compile, draft, and format routine status reports and presentations for 670 and 690 stakeholders. Maintain version control of documents and ensure proper filing and confidentiality of information.
Comprehensive Office Administration:
Provide full-spectrum office support to maintain efficient daily operations. This include managing records and updating electronic files; preparing official NASA correspondence and shipping documents; managing supply inventories; and coordinating facility logistics, office moves, IT requests, and property tracking. Actively participates in strategic planning, anticipates project roadblocks, and provides high-level operational guidance.
Requirements:
Ability to work on-site at NASA GSFC in Greenbelt, MD, five days a week, Monday-Friday, no later than 9:00am start time. NASA Goddard/HQ experience preferred.
Exceptional interpersonal, oral, and written communication skills. Proven ability to anticipate needs, create efficient process flows, and comfortably interface with executive-level leadership, team members, and stakeholders.
Can operate with a high degree of autonomy and require minimal training to get up to speed.
Highly capable of balancing multiple priorities, taking direction from leadership, tracking complex tasks, and rapidly distributing information across teams.
Outstanding customer services skills; must be proactive and responsive to customer requests. Ability to learn quickly and think critically to create innovative solutions.
Strong working knowledge of Microsoft Word, Excel, PowerPoint, and Outlook. Experience with MS Planner is a plus.
Must meet government NAC and citizenship/permanent residency requirements for access to NASA GSFC. An extensive background investigation is required.
Education & Experience:
Bachelor's degree and 7 years of professional experience (or 11 years of experience without a bachelor's degree). Education, training, or demonstrated interest in heliophysics or a STEM-related field is preferred.
