
Manager of Facilities and Maintenance

Position Summary:
The Manager of Facilities and Maintenance reports to the Director of Facilities and Maintenance and assists in overseeing all operational aspects of the Cloisters on the Platte campus, ensuring a safe, functional, and peaceful environment for guests and staff. This role requires comprehensive facilities management expertise, vendor relations, budget oversight, and the ability to balance complex operational demands while minimizing disruptions to the retreat experience.
Key Responsibilities
Operational Leadership
Serve as emergency contact on rotating schedule with Director of Facilities and Maintenance for urgent facility issues (outside regular business hours availability required. Regular contact on Lodge Captain emergency response list
Assist in preparation and management of facilities budgets with emphasis on cost reduction and waste elimination
Plan and execute large-scale equipment upgrades and facility improvement projects in conjunction with the Director of Facilities and Maintenance
Forecast operational needs and resource requirements across all systems
Facilities Systems Management
Provide back-up operation of water treatment plant and wastewater treatment facility
Manage dual-purpose well systems: 2 domestic wells, 2 irrigation wells, and 1 farmhouse well
Monitor and maintain fire protection systems including quarterly hydrant flushing and fire protection pump
Assist in maintaining 2 lift stations for wastewater management
Maintain all mechanical systems at the Farmhouse facility
HVAC and Environmental Controls
Monitor and maintain 120+ heat pump systems across all lodges and Retreat Center
Service all commercial refrigeration and freezer units for food and beverage operations
Manage climate control systems to ensure optimal guest comfort year-round
Water Features and Irrigation
Conserve lake health including water level management and environmental monitoring
Maintain 7 decorative water features (water levels, seasonal winterization, algae control)
Manage comprehensive irrigation system: 200+ zones with over 4,000 sprinkler heads
Operate 5 irrigation booster pumps for grounds maintenance
Vendor Relations and Procurement
Help in negotiating contracts with vendors and contractors for specialized services
Manage all equipment warranty claims and manufacturer relations
Work with housekeeping lead and Director of Facilities and Maintenance to source and maintain inventory of housekeeping and maintenance supplies
Staff Supervision
Assist Director of Facilities and Maintenance to support and manage:
Driving staff of 5
Housekeeping staff of 4
Grounds crew of 4
Guest Services and Property Maintenance
Perform wood treatment and preservation for all lodge exteriors
Administer pest control operations including humane wildlife removal (bees, bats, snakes, turtles, deer, geese)
Maintain pristine walkways and common areas including removal of animal waste
Execute prompt repairs for any guest or staff-related property damage
Coordinate maintenance activities to minimize impact on retreat atmosphere
Position Requirements
On-call availability for emergency response when situations arise.
Knowledge of commercial HVAC, plumbing, electrical, water treatment, and facility systems
Must already have or be willing to procure Grade 1 Water Operator for Wastewater certification
Strong leadership and personnel management skills
Budget development and cost control experience
Ability to balance multiple priorities while maintaining peaceful retreat environment
Familiarity with environmental regulations and safety compliance
Must be able to lift at least 50 pounds and perform physically demanding tasks
