You’ll work in our Boston office as part of the Office Services department. The department focuses on reception and room bookings, mail and duplication, facilities, and event planning.
You will provide responsive, high‑quality administrative assistance with a variety of office services tasks. Your responsibilities include duplicating services for client and internal meetings; assisting with mail/UPS deliveries; conducting office sweeps; helping with conference‑room set up/breakdown; providing backup support to other Office Services positions; and working with the team on facilities tasks such as operating equipment and assisting with office moves.
You will work closely with teams to understand and fulfill all aspects of a request, distributing the highest‑quality product for their meetings or events. You will oversee the mailroom, processing and sorting mail, preparing packages for shipment, and maintaining mailroom supplies.
Your major responsibilities include maintaining supply inventory (e.g., office supplies, business cards, snacks) and processing purchase orders. You will also ensure security and confidentiality within the office, liaising with building security and coordinating disposal of confidential documents. You will be expected to appropriately handle additional incoming ad‑hoc requests or direct them to other colleagues as necessary.
You’ll have the opportunity to work closely with the Office Services team on back‑up support including reception, room booking, kitchen, and facilities. This includes operating the room scheduling system; coordinating catering/equipment needs with other department staff; and handling catering services for the office (e.g., office/client meetings, office functions).
You may also participate in special projects or run miscellaneous errands as assigned by your Manager.

Qualifications and Skills
High School diploma required; University degree preferred.
1+ years in a related position in a corporate or professional environment is an advantage.
Ability to perform multiple tasks effectively with minimal supervision.
Strong interpersonal and excellent professional demeanor.
Willingness to take initiative and rapidly problem‑solve issues as they arise.
Possess high‑quality standards, commitment to meeting deadlines, and ability to work under pressure.
Ability to move heavy equipment and furniture.
Technical knowledge of office machines and equipment.
Regular and reliable attendance (M–F in‑office required).
Strong oral and written communication skills.
