Position Overview
We are seeking a full-time (40-hour) Clinic/Practice Assistant to support our Amherst and Northampton offices. The role is scheduled Tuesday-Thursday at the Northampton office and Monday & Friday at the Amherst office from 8:30am-5:00pm. The clinic/practice assistant serves as the face of our medical group, managing patient experience through telephone support (75%) and in-person check-in/check-out (25%).
Job Summary
Performs administrative and clinical functions under general supervision to support smooth and efficient clinical service or practice operations. Handles basic clerical work, patient scheduling, check-in, check-out, and related tasks.
Essential Functions
Perform routine administrative and clerical duties related to a clinical service or physician practice office.
Make patient appointments and maintain appointment records.
Greet and assist patients.
Answer telephones, assist callers with routine inquiries, and schedule appointments.
File materials in patient folders and print appointment schedules.
Process patient billing forms and scan documents to the patient medical record/LMR.
Call for patient medical records and laboratory test results.
Open and distribute unit mail or faxes.
Type forms, records, schedules, memos, etc., as directed.
May be required to accept co-payments.
Handle, screen and/or take messages related to prior authorizations, provider questions, prescription refills, and test results.
Act as “Super User” for scheduling, registration, and billing systems.
Provide assistance and training to others in these areas.
May perform more complex or specialized functions (i.e., surgical scheduling, schedule changes/blocking) at an advanced competency level.
Qualifications
Education: High School Diploma or Equivalent required.
Licenses and Credentials: Certified Medical Administrative Assistant (CMAA) – preferred.
Experience: 2-3 years of office experience required.
