Purpose of Role
The Payroll Specialist is accountable for the accurate, timely, and compliant processing of payroll for the employee population. This role ensures the integrity of payroll data, adherence to federal, state, and local regulations, and responsive resolution of payroll-related inquiries. The Payroll Specialist supports organizational trust by ensuring employees are paid correctly and on time.

Accountabilities

Payroll Processing

– Accountable for accurate and timely payroll processing across all pay cycles, including processing timecard exceptions and reconciling payroll totals. Ensures all employee pay adjustments, ad‑hoc gifts, bonuses, and PTO are accurately reflected in payroll systems. Follows the established payroll processing calendar and cut‑off deadlines.

Compliance & Reporting

– Ensures payroll practices comply with federal, state, and local regulations, including wage and hour requirements. Supports preparation of payroll data for audits and agency requests.

Data Integrity & Systems

– Maintains the integrity and confidentiality of payroll and employee data within ADP WorkforceNow, ensuring payroll records are complete, auditable, and properly documented. Processes ADP termination steps, payroll steps including submission reviews, final pay calculations, and state‑compliant pay.

Knowledge, Skills, and Experience

Bachelor’s Degree

– In Business, Accounting, Human Resources, or related field or equivalent.

Relevant Experience

– Minimum of 2 years of payroll processing experience, preferably in a multi‑state environment. Hands‑on experience with ADP WorkforceNow or other HRIS for payroll processing, adjustments, and reporting.

Working knowledge of payroll regulations, including wage and hour, garnishments, and unemployment processes.

Proficiency in Excel (formulas, pivot tables) and Microsoft Office applications.

Strong attention to detail and ability to meet recurring payroll deadlines.

Ability to handle confidential employee data with discretion and sound judgment.

Clear and professional written and verbal communication skills.
