USD $28.8 and $36 Hourly
The pay range is indicative of projected hiring range, however base pay will be determined based on a candidate's work location, skills and experience.
What Your Impact Will Be
Schedule and coordinate various calls and meetings, internal and external. Provide phone coverage, as needed
Create PowerPoint decks, Excel spreadsheets, and other charts/materials - and be creative and think out-of-the-box in doing so. Generate redlines.
Assist with management of document/record management, billing, preferred supplier, and matter management systems, as well as other systems used by the Law Department
Assist with updating electronic record keeping (and physical files, as needed)
Collaborate constructively with assistants and staff within and outside the Law Dept., including C-suite executive assistants.
Assist with correspondence and deliverables tracking; Assist with projects and task management, as needed.
Assist with various budgeting and spend matters, including forecasts and accruals, and interfacing with law firms, managing e-billing payments, and creating reports
Assist with processing invoices, including creation of purchase orders
Managing SVP's schedule and calendar by prioritizing based on knowledge of needs and priorities of the business
Order supplies for local Corporate/Securities, Global Commercial & Operations, and Government Affairs teams
Assist in registering attorneys for CLE webcasts and seminars, and tracking CLE for SVP
Distribute incoming mail and preparing outgoing mail
Assist attorneys and/or paralegals with other corporate projects, as needed
Assist with new hire on-boarding, as needed
Improve existing administrative practices
Assist with scanning, copying, and distribution of various documents
Provide secondary and backup support to Corporate / Securities & Government Affairs groups, including with respect to the matters described above
What We're Looking For
5+ years previous administrative assistant experience, including experience supporting a team of directors/managers or attorneys.
Detail-oriented, with excellent planning, organization, and communication stills (in emails, on the phone, etc.)
Technology savvy (intermediate working knowledge with Microsoft Office - Outlook, Word, Excel and PowerPoint) is required. Skilled at learning new software and troubleshooting MS Office challenges
A positive attitude and willingness to juggle and complete a multitude of tasks with efficiency and accuracy
The ability to act intuitively and anticipate the needs of supervisors
Proactive/self-starter and capable of working as a member of a team, as well as independently
Professionally manage changing and conflicting priorities
Excellent interpersonal skills and ability to work collaboratively with a broad range of work styles and personalities, to establish effective relationships at all levels of the organization
Trustworthy and able to appropriately handle confidential and other sensitive information and materials
Displays a high level of professionalism and maturity
Takes initiative, pride, and ownership of work
Experience working with both internal and external partners
Experience and success in working in a fast-paced, high-energy, and dynamic environment is required
The desire and commitment to take on increasingly greater levels of responsibility
Bachelor's degree preferred
