Responsibilities

Maintain the Finance & Accounting Administrator’s calendar of events and commitments; schedule appointments, coordinate meetings, conferences, and presentations; reserve conference rooms and vehicles; set up and initiate conference calls.

Provide purchasing and budgetary support: submit and track purchase orders, review invoices, and resolve identified problems and discrepancies.

Maintain office equipment, order supplies, and keep inventory of consumable supplies for Finance and Accounting.

Operate computer, fax machine, copier, and other office machines to compose and process a wide variety of correspondence and reports.

Work on special projects as assigned; independently prepare special projects and other duties as assigned.

Assist the Finance Administrator with travel arrangements, prepare travel authorizations and reimbursements in STMS, clear travel charges through WORKS and STMS system, and monitor and keep track of all outgoing travel authorizations and approvals to ensure timely approvals.

Knowledge, Skills, and Abilities

Knowledge of administrative principles and practices; office procedures and practices; data collection methods; principles and techniques of effective communication; records management.

Skill in operating a personal computer.

Ability to collect, evaluate, and analyze data related to administrative functions; prepare correspondence and administrative reports; understand and apply applicable rules, regulations, policies, and procedures; utilize problem‑solving techniques; work independently; plan, organize, and coordinate work assignments; communicate effectively; establish and maintain effective working relationships; prioritize workload.

Ability to lift and carry up to 30 pounds as needed; frequently bend, kneel, reach, and sit or stand for long periods of time.

Minimum Qualifications

Bachelor’s degree from an accredited college or university and at least two years of administrative experience.

Experience maintaining confidential administrative files or records in accordance with established policies, procedures, or privacy requirements.

Experience managing calendars, coordinating meetings, conferences and travel arrangements.
