JOB SUMMARY: Job entails managing all administrative tasks of legal cases. These tasks generally include managing updates to client systems, editing and preparing correspondence and legal documents, maintaining electronic files, arranging discovery and depositions, correspondence with the courts, and heavy calendaring. The role works primarily with one or more attorneys based in the Dallas, Texas area and with multiple paralegals and attorneys across Alabama, Florida, Georgia, Mississippi, and Texas.

Duties & Responsibilities

Prepare and format memoranda, correspondence, and other legal credentials.

Independently draft standard routine pleadings, correspondence, and other documents (e.g., Complaints, motions, notice of hearings, affidavits, defaults, notice of publications, etc.).

Read and electronically profile e‑mails.

File pleadings electronically with courts and record documents in the land records. Working knowledge of Simplifile is a plus.

Maintain superior public relations with business associates and clients.

Schedule appointments, meetings, depositions, and mediations for attorneys.

Assist in scheduling seminars, industry dinners or luncheons, and other functions as requested.

Work closely with other staff members in a team‑familiarized manner.

Collaborate with paralegals to maintain structured and comprehensive file indexes and case files.

Maintain and organize case files—both electronic and physical—ensuring they are up to date for easy retrieval.

Proofread legal documents as required.

Provide litigation support to the Legal Team in a high‑volume, time‑sensitive environment.

Provide service updates, client status updates, and follow‑up on outstanding documents or services; coordinate with title contacts to complete recordings and missing documents.

Assist in check‑down of closed, active, and hold files including forwarding invoices of foreclosure fees and costs.

Assist with opening files and applying fee approvals and fee requests.

Manage and organize production of documents; identify privileged documents.

Generate reports and follow‑up on identified outstanding tasks.

Handle audits with clients as requested.

Capture billable time for tasks handled on behalf of the client and enter time records.

Perform other duties and responsibilities as needed.

Education & Work Experience

Minimum high‑school diploma or equivalent; secondary education or some college is a plus.

Minimum 2 or more years of litigation paralegal experience or equivalent knowledge of Texas mortgage litigation, Texas foreclosures, title knowledge, and related mortgage servicing litigation. Knowledge of Alabama, Georgia, and/or Mississippi litigation proceedings is a plus.

Certified Paralegal designation is a plus.

Understanding of law policies and procedures.

Ability to transcribe correspondence and reports, legal documents.

Operate computer, fax machine, scanner, photocopier, typewriter, and telephone.

Strong written, oral, and interpersonal communication skills.

Physical Demands
The employee is frequently required to sit, talk, or hear. Occasionally, the employee must stand, walk, use hands to finger, handle, or feel; reach with hands and arms, and stoop, kneel, or crouch. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities include close vision and the ability to adjust focus.

Work Environment
Normal office working conditions with quiet to moderate noise levels. The firm offers a comprehensive compensation package, including a salary commensurate with experience and accomplishments.
