Administrative Support For Care Pastor
Provides administrative support to the Care Pastor to fulfill the overall goals and objectives of the Reservoir Campus and Pinelake Church. Primary responsibilities include providing daily support for the Care Pastor (including email, schedule, and budget), coordinating with church members related to pastoral care next steps, weddings, funerals, and marriage mentoring, and hosting guests for onsite meetings with the Care Pastor.

Specific List of Duties and Responsibilities
Provide complete administrative support for the Care Pastor by managing Outlook calendar for internal and external meetings, and fielding phone calls and meeting requests in a way that promotes healthy pace.
Maintain awareness and appropriate communication for calendared campus events, adding to Care Pastor's calendar as needed. Anticipate and prioritize Care Pastor involvement while utilizing 30-60-90 calendar review process (Essentials, baptisms, JCL, Baby Dedication, etc.).
Provide follow up communication via email, phone, and letters in a timely manner, and host in-person guests.
Organize and prioritize necessary next steps, meetings, and ongoing follow-up for pastoral care to the body in a timely manner.
Develop and prepare tools and resources to assist the Care Pastor in the pastoring and shepherding of those in our faith family.
Schedule, plan, and prepare various meals, meetings, and events for ministry teams under the Care Pastor's Leadership (Congregational Care Team, Marriage Mentors, Ushers, Adoption/Foster Care Ministry, Civic and Community Leaders, etc.).
Help administrate the functions of Pinelake Reservoir's Marriage Ministry, including Marriage Mentoring.
Execute the administrative functions of Pinelake Reservoir's Marriage Mentoring ministry, to include timely communication with engaged couples, marriage mentors, and Care Pastor, preparation of all Marriage Mentor materials, and updated Rock Connections, as well as order of service for weddings officiated by the Care Pastor.
Coordinate meetings, communication, and prepare paperwork for Adoption Grant process, as needed.
Develop a high level of proficiency with the online church management system (Rock) to assist in communication, room reservations, and people follow up, making appropriate updates on profiles and Connection Requests, as needed.
Review and file Care Pastor expenses, ensuring that all information is provided on a timely basis and expenses are in the correct accounts.
Purchase office supplies and resources as needed, including drinks and coffee supplies for the Reservoir Staff.
Maintain clean and orderly working environment and common workspaces.
Perform other duties as assigned.

Education and Experience Required
High school diploma or equivalent minimum; college experience preferred. Two to five years of administrative experience. Servant Leader involvement/understanding preferred but not required.

Excellent interpersonal skills, ability to work with a diverse group of people, communicate clearly and effectively on the telephone, email and in person, demonstrating tact and diplomacy.
Computer and Mathematical Skills
The individual must have demonstrated skill in the use of Windows/MacOS to complete tasks (including word processing and spreadsheets) and the ability to use the internet for information retrieval. The individual must be able to apply basic mathematical concepts and operations to such tasks as accounting, budget management, and financial expense monitoring.
Reasoning Ability
The ability to simultaneously conceptualize and plan multiple tasks; project outcomes using different implementation strategies; and apply creative and innovative thinking to problem situations is required. The ability to work effectively and efficiently under stressful conditions to ensure deadlines are met is essential.
