Position Overview
The Fleet Administrative Assistant will provide clerical duties that support fleet operations. The daily task will consist of completing key reports that are critical to the fleet. The reports will be in Excel or Google format as well as data management from the various software programs utilized in transportation. This is a clerical role that will support data entry for fleet operations to assist with transportation analysis of the fleet, owner operator activity, dispatch activity, driver recruitment and DOT Regulatory compliance efforts, including new hire orientation activities, occasional driver safety meetings attendance and maintaining Driver Qualification Files (DQFs). This position requires strong MS Office Suite experience particularly in Excel, problem-solving skills, and the ability to thrive in a fast-paced logistics environment.
Key Responsibilities
Dispatch & Operations Management
Develop and optimize daily and weekly routing and scheduling for company drivers and owner-operators.
Monitor load progress, track shipments, and proactively resolve delays or service issues.
Coordinate closely with supply chain, warehouse, and distribution teams to align transportation needs with operational priorities.
Communicate with brokers, shippers, and receivers to confirm appointments, resolve discrepancies, and maintain strong working relationships.
Ensure compliance with DOT regulations, hours-of-service rules, and company safety policies.
Maintain real-time visibility of fleet activity using dispatch TMS systems and fleet telematics systems.
Customer & Partner Communication
Serve as the primary point of contact for customers regarding load status, scheduling, and service expectations.
Build and maintain relationships with freight brokers and logistics partners to secure loads and maximize fleet utilization.
Driver Support & Recruitment Assistance
Assist with driver recruitment by coordinating interviews, onboarding schedules, and orientation sessions.
Support HR in processing new-hire paperwork ensuring all required documentation is collected.
Organize, maintain, and audit Driver Qualification Files in accordance with FMCSA regulations.
Serve as a resource for drivers, helping address operational questions, equipment needs, and scheduling concerns.
Administrative & Reporting Duties
Maintain accurate dispatch records, load documentation, and system data.
Track KPIs such as on time delivery, equipment utilization, and driver performance.
Provide operational reports and recommendations to management to improve efficiency and service quality.
Assist with incident reporting, compliance audits, and safety initiatives as needed.
Qualifications
Experience in trucking, logistics, or transportation dispatch required.
Understanding of DOT regulations, HOS rules, and transportation compliance.
Excellent communication, multitasking, and problem-solving abilities.
Proficiency with dispatching software, TMS platforms, and Microsoft Office tools.
Ability to work in a fast-paced environment with shifting priorities.
Prior experience supporting driver onboarding or HR processes is a plus.
