Opportunity
The Senior Administrative Assistant

HR COEs provides high-level administrative, project coordination, and communication support to the HR Centers of Excellence leadership team. This role ensures effective operations in a fast-paced, high-touch environment and serves as a trusted partner across Kohler Co. business teams.
The ideal candidate is highly organized, digitally proficient, and an enthusiastic communicator who brings sound judgment, discretion, and professionalism. Specific Responsibilities Include:

Executive & Administrative Support
Provide foundational executive administrative support to HR COE leaders, demonstrating a high level of professionalism, confidentiality, and sound judgment.
Manage leaders' calendars, schedule meetings, and coordinate priorities to ensure efficient use of time.
Organize and coordinate domestic and international travel as needed, including expense report submission.
Serve as a trusted administrative partner to HR COE leaders and, as needed, provide clerical support to team members lacking dedicated administrative support.
Project Coordination & Tracking
Coordinate project scheduling and maintain clear, robust project tracking tools to provide leadership visibility into initiatives, timelines, and deliverables.
Communicate professionally and succinctly with stakeholders to ensure projects remain on schedule, escalating risks or issues related to timing, scope, or delivery.
Support communication plans for HR initiatives, ensuring timely, consistent updates to stakeholders and partners.
Maintain and update executive distribution lists across multiple areas of the business to ensure accuracy and consistency.
Collect, compile, and manage organizational calendars across the company and ensure timely upload and maintenance within designated systems.
Create, submit, and manage purchase orders (POs), ensuring accuracy, proper approvals, and timely processing in alignment with company policies.
Communication & Information Flow
Draft communications on behalf of HR COE leadership as requested, ensuring clarity, consistency, and professionalism.
Serve as a conduit for information between HR COEs, business partners, and the Executive Office.
Screen incoming communications, facilitate calls, and redirect inquiries as appropriate.
Ensure timely distribution of notices, updates, and internal communications relevant to HR COEs.
Meeting & Event Coordination
Support the scheduling, coordination, agenda preparation, and documentation (notes/minutes) for key HR COE meetings.
Coordinate leadership forums, team meetings, and enterprise HR meetings as assigned.
Assist with planning HR-related communication or recognition events as requested.
Data, Reporting & Digital Tools
Operate in a digital-first manner, ensuring required reports, files, and analytics are collected and shared on schedule.
Compile, organize, and summarize data or materials to support leadership decision-making.
Maintain organized digital files, documentation, and records in alignment with HR standards and confidentiality requirements.
Operational & Process Support
Maintain and update HR COE Standard Operating Procedures (SOPs) and documentation.
Support review cycles, deadlines, and compliance requirements related to HR initiatives.
Assist with coordination of approvals, follow-ups, and documentation tied to HR processes.
Participate on project teams and working groups as assigned by HR COE leadership.
Additional Responsibilities
Order meeting refreshments and coordinate meals for meetings over the lunch hour, as needed.
Attend meetings to take notes and track follow-up actions.
Perform additional projects and duties as prioritized to support HR COE effectiveness.
Skills/Requirements
High School diploma and eight years experience in related office setting required (three years of Kohler Co. experience preferred).
Ability to prepare ACT's, managing basic budget items, and coordinating projects.
Strong written, verbal, and coordination skills.
Ability to multi-task, organize, prioritize, and manage diverse workload.
Proficient in Microsoft Word and Excel products, with and common understanding of Power Point, required.

This means you'll have access to your applicable benefit programs from your first day on the job, with no waiting period. The hourly range for this position is $25.60 - $38.40. The specific hourly rate offered to a candidate may be influenced by a variety of factors including candidate's education and work location.
