Service Dispatcher & Field Operations Coordinator

We design, install, and service high-end saunas, steam rooms, hot tubs, cold-plunge systems, and specialty wellness equipment that integrate HVAC, electrical, and plumbing components. We are seeking a highly organized Service Dispatcher & Field Operations Coordinator to manage daily service operations and support our field technicians. This role functions as the central hub of communication - scheduling service calls, dispatching technicians, tracking job progress, managing parts inventory, and ensuring customers receive timely, professional updates. Candidates with experience in HVAC, electrical, plumbing, or construction service environments will excel in this fast-paced, detail-driven role.
Key Responsibilities:
Dispatch and schedule service appointments 12 weeks in advance, optimizing routes and technician workloads.
Monitor technician arrival/departure times and track progress through GPS and service software.
Maintain inventory of commonly used HVAC/electrical/plumbing parts and materials.
Receive, log, and assign incoming parts to the correct service orders.
Communicate proactively with customers regarding appointment status, delays, and follow-up needs.
Ensure accurate service documentation in Service Fusion and HubSpot CRM.
Process billing for service calls, parts, and warranty work; collect service fees upfront.
Maintain organized service records, customer files, and weekly revenue reports.
Support warranty claims, vendor communication, and parts ordering.
Provide excellent phone and email support to customers and technicians.
Collaborate with field technicians to ensure accurate equipment details and job completion notes.
Required Qualifications:
2+ years in a dispatcher, service coordinator, or field operations role (HVAC/electrical/plumbing preferred).
Strong multitasking skills and ability to manage complex scheduling.
Excellent communication and customer service skills.
Proficiency with SaaS platforms (Service Fusion, HubSpot preferred).
Comfortable using Gmail, Google Docs, and QuickBooks.
Valid driver's license and ability to pass background checks.
High School Diploma required; technical training a plus.
Bilingual (English/Spanish) preferred.
Physical Requirements:
Prolonged periods sitting and working on a computer.
Ability to lift up to 25 pounds.
