Description
We are seeking a highly organized and detail-oriented Administrative Assistant to support the daily operations of our dealership. The ideal candidate will have strong communication skills, a positive attitude, and the ability to multitask in a fast-paced environment. This role is critical in ensuring smooth administrative processes and excellent customer service.
Key Responsibilities:
Greet and assist customers and visitors in a professional and friendly manner
Answer and direct incoming phone calls, take messages, or route calls appropriately
Handle daily clerical and administrative tasks including filing, data entry, scanning, and document management
Assist with preparing sales and service paperwork, including vehicle purchase agreements, invoices, and title documentation
Maintain office supplies inventory and place orders as needed
Schedule appointments and maintain calendars for management or service departments
Support accounting functions such as processing payments, reconciling daily transactions, and preparing bank deposits
Coordinate with various departments (Sales, Service, Parts) to ensure smooth internal communication and operations
Maintain a clean and organized front desk and customer waiting area
Perform other duties and special projects as assigned by management
Qualifications:
High school diploma or equivalent required; Associate's degree preferred
12 years of administrative or office support experience, preferably in a dealership or similar environment
Strong computer skills, including Microsoft Office Suite (Word, Excel, Outlook)
Experience with dealership management systems (e.g., CDK, Reynolds & Reynolds) is a plus
Excellent organizational, time management, and multitasking skills
Strong interpersonal and communication skills
