We are currently seeking a part-time, motivated, professional, and experienced Administrative Assistant for our Tierra De Zia Homeowner Community site office located in Santa Fe, New Mexico. It is anticipated that the total number of hours per week will be 20, and there is flexibility on days worked as well as start/stop times. The Office Administrator is responsible for providing administrative and community management support for the Site Manager, Board of Directors, and committees of the community. Duties vary from basic accounting, customer service, general office work, and administration of internal office processes to attending Board meetings and providing support to the community as needed. Special projects may also be assigned.
Responsibilities Include:
Assist and support office and community with general administrative duties
Create, maintain, and enter information into databases, scan, copy, and file documents
Set up and manage paper and electronic filing systems, recording information, updating paperwork, and maintaining documents, such as correspondence or other material.
Prepare and provide reports, meeting materials, work orders, and other documents
Maintain scheduling and event calendars
Compose, type, and distribute meeting notes, routine correspondence, or reports, such as presentations or expense, statistical or monthly reports
Assist in resident account setups and onboarding
Provide service and support to community members with inquiries, account information, and other requests
Conduct internet, phone, and e-mail searches to find needed information
Utilize computer systems to maintain accurate data and organized filing
Help manage community projects and contribute to committee teamwork
Applicants Must:
Have previous office or administrative experience,
Have previous project management experience,
Be professional, organized, and self-motivated
Be able to work independently with little supervision
Be able to juggle multiple responsibilities and tasks with proficiency in all
Possess strong written and verbal communication skills
Have a proficiency with Microsoft Office and general computer skills
