Summary of Position:
The Benefits & Leave Administrator is responsible for the day-to-day administration of employee benefits programs, corporate insurance coverage, and leave of absence processes. This role ensures compliance with all applicable federal, state, and company policies while delivering accurate, timely, and employee-focused support. The position serves as a key liaison between employees, management, insurance companies, brokers, and third-party administrators.

Duties and Responsibilities:
Administer employee benefit programs including medical, dental, vision, life insurance, disability, and retirement plans
Serve as the primary point of contact for employee benefit inquiries and issue resolution
Coordinate and manage open enrollment processes, including system updates and employee communications
Ensure accurate benefit deductions, enrollments, and eligibility tracking in HRIS (e.g., ADP Workforce Now)
Maintain compliance with ERISA, ACA, DOL, and COBRA regulations
Assist with audits, reporting (e.g., 1095-C), and plan documentation (SPD updates)
Administer and manage corporate insurance programs and claims, including general liability, worker’s compensation, and other business insurance policies
Coordinate and analyze policy renewals, coverage options and support cost-containment strategies
Administer all leave programs including FMLA, ADA accommodations, personal leave, and state-specific leave laws
Partner with third-party leave administrators; ensure proper coordination and documentation
Provide guidance to employees on leave processes, eligibility, and responsibilities
Track and monitor leave usage, return-to-work dates, and required certifications
Engage in the ADA interactive process in coordination with HR leadership
Collaborate with HR team and department management to determine and implement reasonable accommodation.
Ensure accurate, compliant, and timely documentation practices
Ensure adherence to federal and state regulations, company policies, and internal controls
Support internal and external audits related to benefits and leave programs
Identify process gaps and recommend improvements to increase efficiency and compliance
Provide clear, professional, and compliant communication to employees regarding benefits and leave
Conduct benefits orientations, training, communication as needed or assigned
Develop employee-facing materials, guides, and FAQs
Escalate complex issues to HR leadership as appropriate
Process and reconcile all benefits and insurance-related invoices in a timely and accurate manner
Partner with payroll and finance to ensure proper deductions, vendor payments, general ledger, and budget alignment
Assist in annual budget planning
