Responsibilities
Process and coordinate durable medical equipment (DME) orders. Verify patient insurance coverage, obtain prior authorizations, and communicate with DME vendors to ensure timely delivery. Maintain accurate documentation of DME orders in the electronic medical record (EMR) and educate patients on DME processes, usage instructions, and follow‑up requirements. Track pending orders and follow up on outstanding requests to prevent delays and ensure compliance with regulatory requirements and payer guidelines. Collaborate with providers, nursing staff, referrals, billing, and administrative teams to ensure accurate processing and completion of DME orders.
Medical Assistant Duties
Prepare patients for examination, including obtaining vital signs, medical histories, and medication reconciliation. Assist providers during patient examinations and procedures as needed. Administer injections and vaccines, perform basic clinical procedures, point‑of‑care testing, and specimen collection. Document patient interactions, procedures, and results in the EMR. Coordinate patient referrals, lab orders, and follow‑up care and maintain exam rooms, supplies, and equipment.
Administrative Support
Answer patient questions regarding equipment orders and clinical instructions. Coordinate communication between patients, providers, vendors, and insurance companies. Assist with scheduling or patient follow‑up calls related to DME or clinical care. Maintain organized records and ensure HIPAA compliance.
Qualifications
High school diploma or equivalent required. Medical Assistant certification preferred (CMA, RMA, or equivalent). Previous experience in a medical office or healthcare setting preferred. Knowledge of DME processes and insurance authorization procedures highly desirable. Familiarity with electronic medical records (EMR) systems is required. Strong organizational, multitasking, and communication skills. Excellent patient service skills, attention to detail, and accuracy in documentation. Ability to work collaboratively in a fast‑paced clinical environment. Knowledge of HIPAA and healthcare compliance standards.
Work environment: Outpatient clinic or medical office setting with frequent interaction with patients, clinical staff, insurance companies, and medical equipment vendors. Must be able to work straight‑shift hours, with occasional additional hours on short notice. Bleed or body fluid exposure possible; knowledge of aseptic technique and infection prevention is imperative.
